Overview The Executive Assistant plays a vital role in supporting the CEO and the Executive Team. This role also involves managing the organization''s office operations. It''s a dynamic position that requires foresight, critical thinking, and problem-solving skills, all handled with professionalism and confidentiality.. Responsibilities Manage the CEO''s extremely active calendar with efficiency, prioritizing requests, resolving scheduling conflicts, and making recommendations to ensure smooth daily operations. Serve as a liaison by coordinating meetings and eventsscheduling, preparing agendas, creating and sharing presentation materials, and taking minutes in line of compliance standards. Prepare the CEO''s monthly expense summary - personal and business-related expenses. Handle a variety of administrative tasks to support the CEO''s leadership, including assisting with special projects, preparing reports and presentations, gathering meeting information, drafting correspondence, maintaining contact lists, arranging travel, and managing expenses. Act as the primary point of contact for internal and external stakeholders regarding CEO-related matters, including sensitive or confidential issues. Use good judgment to determine the best course of action or response. Keep the CEO informed about upcoming commitments and emerging issues, anticipating needs before meetings or events, and providing timely follow-up. Coordinate all meetings and retreats for the Executive Team, and assist with staff meetings and organizational events as needed. Serve as a ''gatekeeper'' and ''bridge,'' ensuring effective communication between the CEO and staff, and supporting leadership to maintain trust and credibility. Oversee office services, including developing policies for efficient workflows, selecting vendors, and procuring necessary supplies and equipment. Replenish office supplies, support event planning, and provide hospitality to guests to create a welcoming environment. Handle incoming calls, respond to inquiries, process mail, and perform other duties that benefit the organization. Manage all CEO''s memberships & subscriptions and their renewals / payments. Maintain both paper and extensive electronic filing system (Outlook and other). Personal tasks as required. Skills Demonstrated commitment to diversity, equity, and inclusion in work. Extensive experience supporting executives. Proficiency in AI, Apple Ecosystem, Microsoft Office and desktop publishing tools, with skills in designing and editing presentations and materials. Professional demeanor when interacting with a wide range of people, including First Nation communities, senior staff, community leaders, and partners.
