Role: As Sports Coordinator, you will provide front-line supervision and leadership to a team of skating, sport and climbing instructors, ensuring the coordination and delivery of high-quality, safe, and engaging programs. This role is responsible for coordinating day-to-day program operations, including scheduling, team support, and performance monitoring, while maintaining a strong presence on-site to address participant needs and operational issues, including evenings and weekends. You will also lead program planning, coordination and administration, contribute to team training and development, and ensure compliance with all safety protocols and organizational policies to foster an inclusive and positive environment for all participants. Reports to: Child & Youth Manager Responsibilities: Program Leadership & Administration: Perform skating, sport and climbing administration duties including: o Manage waitlists, enrolments and payments in Avocado. o Complete data uploads to Avocado for skating, sport and climbing programs. o Assist instructors with the completion of necessary forms and e-forms on the first day including: talent release form, field trip forms and safety waiver forms o Assist the instructors with the sign in/sign out processes o Answering emails and phone calls o Complete weekly inventory of equipment and supplies o Complete any accident and injury report forms o Facilitate communications with parents, staff, participants, and direct supervisor o Respond to parent/guardian concerns in a professional manner o Create daily, weekly, and monthly staff and activity schedules Support with the review of program content on the website related to registrations. Support with canceling or merging classes where required due to low enrollment or other reasons requiring cancellation. Assist with the development of the skating, sport and climbing budget and understand and monitor key components that influence targets. Work alongside your direct leader to promote skating, sport and climbing and provide accurate communications to current and future program participants and their families. Track, monitor and report spontaneous usage and impact; weekly, monthly and annually. Build strong relationships with our skating, sport and climbing audiences by fostering an active, social, inclusive and engaging learning environment for children and families. Demonstrate an upbeat, approachable and engaging personality to create a sense of community in all programs. Take the lead on responding to customer inquiries to resolution. Be onsite, available to guests and team members when programs are in operation. Team Leadership Assist your direct leader with recruiting, mentoring, developing performance, targets and the day-to-day performance management of the instructors utilizing Human Resources best practices to ensure a high-performing team. Lead and provide clear direction and expectations to the skating, sport and climbing instructors on roles and responsibilities and empower and hold the team accountable for achieving established work- plans and targets through the regular follow-up, feedback and coaching. Be accountable for the development, progress and evaluation of work-plans and performance targets for the skating, sport and climbing teams. Participate in the assessment, revisions, and revamping operational policies, procedures and training manuals to ensure they are aligned and support business and team practices. Perform regular scheduling and payroll for the skating, sport and climbing instructors. Observe programs daily to ensure that Vivo values are being upheld throughout the delivery of all offerings by engaging in skating, sport and climbing activities daily by remaining accessible and visible to parents, children, and instructors. Lead weekly / monthly debriefs with the teams and report back to your direct supervisor. Safety, Risk & Compliance Demonstrate a high standard of supervision, risk assessment, Vivo''s best practices, and duty of care by actively maintaining health and safety standards, first aid incidents, and equipment inventory of first aid kits. Assist with facilitating in-services for instructors demonstrating knowledge in Vivo''s Health & Safety policies and procedures to train all skating, sport and climbing instructors. Perform and lead all preventative maintenance on equipment (tools provided). Recommend necessary replacement items to maintain service, ensure safety or improve efficiency. Working with direct leader to order parts and equipment from the most appropriate and cost-effective sources available. Qualifications: Working towards a Post-Secondary Diploma and/or University Degree in kinesiology, education, experience and place making, recreation, business, etc. 2-3 years progressive experience in skating, multi-sport and climbing curriculum, and developing, assessing, and modifying program lesson plans. 1 -2 years of skating leadership and supervisory experience. 1 -2 years of multi-sport leadership and supervisory experience. Experience with planning skating, multi-sport and climbing programs is an asset. Experience performing program assessments is an asset. NCCP multisport Certification an asset. Required skating certifications as designated by Vivo Current Standard First Aid (SFA) and CPR-C/AED certification Police Information Clearance with Vulnerable Sector Search, completed within the past 3 years (current employees); 3 months (new employees) Please visit our careers page to see more job opportunities
