Non-Union HOURS: 7 hours per day, 5 days per week, 12 months per year JOB SUMMARY: Reporting to the Director of Human Resources, the Human Resources Assistant (HRA) is responsible for providing administrative support to the Staff Services department. The HRA is responsible for providing general assistance in the areas of recruitment (preparing and posting of job ads, management of the online hiring portal, and onboarding), collective agreement requirements (report running, trial period tracking, drafting letters and tracking of grievances) application of various HR legislations and Acts, health and benefit plans, and employee evaluations. In addition, the HRA will assist with administrative tasks associated to physical and electronic record maintenance and may assist in the preparation of training and presentations. RESPONSIBILITIES AND DUTIES: As the HR Assistant, you will: Provide administrative support for all non-teaching employee groups as well as the Staff Services team which will include answering inquiries over the phone and through email. Provide support for all non-teaching recruitment and onboarding and will track all submitted documentation and follow up on outstanding requests. Support employee and labour relations tasks including answering questions regarding collective agreement articles and divisional policies/guidelines. Ensure all hiring, appointment changes, leaves and terminations are entered accurately and in a timely manner into the HRIS system. Track and maintain the performance evaluation process by running reports and distributing quarterly to administrators and supervisors. QUALIFICATIONS (EDUCATION AND EXPERIENCE): Completion of post-secondary education specializing in human resources, or an equivalent combination of related education, training and experience may be considered. Three (3) years of recent experience performing human resource administrative functions is required. Experience using a Human Resources Information System to enter, track and report data is preferred (experience using Navision will be considered an asset). Experience working with Microsoft Office (Word, Excel, PowerPoint, and Outlook) and strong computer skills are required. Strong time management skills, with the ability to manage competing priorities under strict deadlines is required. Ability to interpret and provide advice regarding human resource policies, practices and legislation is required. Ability to effectively manage confidential information and to work independently with strong interpersonal and organizational skills is required. Ability to act with initiative and a strong attention to detail as part of a team and fostering a respectful workplace is required. Excellent verbal and written communication skills are required (French speaking will be considered an asset).
