About the Role We are a small, family-run real estate company focused on owning and managing long-term rental properties. Our team is hands-on and works closely together to support day-to-day operations and administrative needs. We are seeking a highly organized, proactive, and detail-oriented Administrative Assistant to support both professional and limited personal administrative needs. This role sits between entry-level and intermediateideal for someone who already has strong administrative fundamentals and is ready to take on greater responsibility, autonomy, and trust. The successful candidate will act as a key support partner, helping manage information, schedules, priorities, and day-to-day operations while maintaining discretion and professionalism at all times. Key ResponsibilitiesAdministrative & Office Support Manage calendars, meetings, and scheduling across business priorities Handle incoming emails, correspondence, and follow-ups Organize documents, contracts, invoices, and records (digital and physical) Prepare correspondence, reports, presentations, and internal documents Support day-to-day office operations and workflow coordination Data Management & Reporting Enter, update, and maintain accurate data across spreadsheets and internal systems Verify information for accuracy, completeness, and consistency Assist with basic reporting, tracking, and organization of operational data Maintain structured filing and naming systems Personal Assistant Responsibilities Coordinate personal scheduling alongside business commitments Assist with travel planning, bookings, and itineraries Track tasks, reminders, and deadlines to support time management Handle ad-hoc personal administrative requests as needed Act as a gatekeeper to help prioritize time and communications General Support & Special Projects Provide direct support to leadership as a trusted point of contact Assist with special projects, research, and coordination tasks Anticipate needs and proactively solve administrative problems Maintain confidentiality with sensitive business and personal information Required Qualifications 2+ years of administrative, office support, or assistant experience Strong organizational skills and exceptional attention to detail Proficiency with Microsoft Excel, Word, and Google Workspace Excellent written and verbal communication skills Ability to manage multiple priorities and work independently Preferred Qualifications Experience supporting executives, entrepreneurs, or small teams Familiarity with accounting, CRM, or project management tools Post-secondary education in business, administration, or a related field Comfort working in a fast-paced, evolving environment Personal Attributes Trustworthy, discreet, and professional Proactive and solutions-oriented Calm under pressure and highly reliable Detail-focused while understanding big-picture priorities Strong sense of ownership and accountability What We Offer Competitive compensation based on experience ($28$32/hour) Long-term growth and expanded responsibility Close working relationship with leadership Supportive, professional, and respectful work environment Job Type: Full-time Pay: $28.00-$32.00 per hour Benefits: Casual dress Paid time off Work Location: Hybrid remote in Vancouver, BC V6C 1H2
