As part of its mandate, the ACOTRO oversees and administers the Substantial Equivalency Assessment System (''SEAS'') program. The SEAS program provides a single, centralized process for the assessment of educational qualifications and competencies of internationally educated occupational therapists (''IEOTs''). The SEAS program is now embarking on a three-year project to ensure maximum efficiency and effectiveness in the foreign credential recognition process for IEOTs see more information about the project here. The Position ACOTRO is seeking a dedicated and detail-oriented Part-Time Administrative Assistant to assist with the setup and ongoing support of the new project. This role is ideal for someone with strong administrative / clerical support skills, including meeting planning and scheduling, and excellent communication abilities. Key Responsibilities Provide general administrative and clerical support to staff and management Answer and direct phone calls, respond to general inquiries Schedule meetings, book rooms, take minutes, and maintain calendars Assist in organizing events, meetings, catering, and travel arrangements File, scan, track and organize electronic documents Enter and update data in databases and spreadsheets Prepare correspondence, reports, and other documents as needed Reconcile business credit cards in a timely manner Maintain office supplies and coordinate orders as required Support onboarding of new staff (e.g., preparing welcome packages, setting up workstations) Perform other administrative tasks as assigned Qualifications and Skills Minimum two (2) year College Diploma in Office Administration, Business, or related field A minimum of three (3) years of experience in an administrative or office support role preferred Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, Adobe Acrobat) Proficiency with webinar and meeting software (Microsoft Teams, Zoom) Ability to quickly and accurately proofread documents Experience in website editing and document uploading is considered an asset Excellent verbal and written communication skills Strong attention to detail and organizational skills Proactive approach to work and independent problem-solving skills Ability to prioritize tasks and manage time effectively Professional demeanor and a willingness to learn Excellent interpersonal skills and experience working effectively as a team member with minimal supervision Ability to handle confidential information with discretion Fluency in French is an asset How to Apply To be considered, please apply via Indeed with your resume and cover letter and respond to all required questions as part of our pre-screening process.
