Job Description

Position Title: Transportation Assistant Reports To: Manager, Community Engagement I. Scope and summary of primary responsibilities The Transportation Assistant supports the efficient coordination of all program-related transportation. Key responsibilities include generating transportation reports, planning weekly routes, and scheduling drivers with appropriate vehicle and accommodation arrangements. The role prepares and updates driver materials, communicates travel details to guests, verifies authorized pickups, including required procedures for underage travelers, and assists with on-site coordination at Pearson Airport. Additional duties include working with staff to ensure lunches are prepared for participants and drivers, as well as managing petty cash distribution and receipt reconciliation for transportation expenses. II. Essential functions Pull and analyze transportation reports from CampBrain to support planning and daily operational decisions. Draft transportation routes for each program week, ensuring efficiency, safety, and alignment with program schedules. Schedule drivers and assign routes, confirming timing, vehicle arrangements, and hotel accommodations whenrequired. Assemble, update, and distribute driver binderscontainingcurrent schedules, contact information, procedures, and any necessary trip documents. Communicate travel plans, itinerary updates, and transportation-related information to guests in a clear andtimelymanner. Confirm authorized pickup contacts, make related verification calls, and ensure proper sign-off procedures for underage guests during arrival and departure. Work closely with staff to ensureappropriate lunches/mealallowancesare prepared and distributed for participants and drivers. Assistwith guest transportation at Pearson Airport, offering guidance, coordination, and support as needed. Oversee petty cash distribution for transportation-related expenses and collect, record, and reconcile receipts for reporting. Qualifications (only include knowledge and skill requirements, experience and education) Knowledge and Skill Requirements (minimum required) Excellent customer service skills and the ability to multitask. Planning,organizationand time management skills. Strong interpersonal skills, including patience and communication. Proficient user of Microsoft Office and Office 365 including word processing and experience working in a database environment including queries. Knowledge ofCampBrainsoftware, an asset. Current (within 6 months of start date) Vulnerable Sector Police Record Check Current Standard First Aid and CPR-C Experience and Education (minimum required) Post-secondary education in administration, logistics, or a related field an asset. Experience in transportation coordination, customer service, or administrative support preferred. Validdriver''s license anda clean driver''s abstract. Access to a vehicle is an asset. Work environment This position may require the ability to work occasional overtime/flex time. This position may have to deal withdifficult situationsor people. Ability to work flexible hours in a dynamic and busy environment, with frequent interruptions. May reside at CNIB Lake Joe during operational season and would share accommodations with other staff member. Travel may be required.
