In this role, youll be at the heart of the IHS team, helping keep the department running seamlessly. As the backbone of the IHS Program, youll often be the first point of contact for our industry customersengaging them in the programs services, and ensuring every interaction is positive, efficient, and effortless. From reaching out to productions and helping them understand our services to booking travel for your team, preparing their expenses for reimbursement to supporting with the coordination of meetings, your work will directly support safer, stronger workplaces in the arts and entertainment industries.You will join a high-performing team of industry safety professionals, including a strong leadership team. Actsafe would love to hear from you!This position has primary oversight of the following responsibilities: Outreach - Supports the IHS teams outreach; identifies targeted IHS customers, actively reaches out to them (warm calls), coordinates logistics. Customer Service - Maintains polite and efficient communication for in-person and virtual client assistance. IHS Program Manual - Works in accordance with the organizations IHS Manual. Creates standard operating procedures (SOPs) for IHS team members responsibilities and activities. Department Calendar - Ensures the schedule of IHS offerings are meeting industry demand and aligned with team capacity. IHS Requests - Maintains awareness of industry demands for IHS offerings, receives requests for program support. IHS Logistics Coordinates logistics for IHS offerings and program offerings, including virtual, in-person, at-office and off-site delivery. IHS Data Entry & System Maintenance - Responsible for the entering data and information into Customer Relationship Management (CRM) database and or Injury Claims Database. Audits and ensures data is accurate and up to date. Committee participation - Participates in internal multi-departmental committees or external committees, as needed. IHS Inventory Tracking and Supplies Maintenance - Maintains inventory of all IHS equipment and replenishes supplies. IHS Organizational Effectiveness Supports the implementation and maintenance of customer service feedback mechanisms for IHS offerings. Industry Education & Training department Back-Up Support - Regularly provides back-up administrative, customer services. Private Training Services Prepares the process of custom private training workshop requests delivered by the IHS team. IHS Records Management Ensures IHS documents are accurate and maintained, contact lists, distribution lists, etc. IHS Organizational Documentation & File Management System Oversees and maintains the file management system for IHS files, including off-site storage. General administration Provides confidential administrative support, meeting coordination, travel arrangement, expense reimbursement, etc.Required Education: Completion of post-secondary education, either degree, diploma, certificate, or associate certificate in related field, required, ideally in business, or health and safety. Experience: 2+ years' experience providing administrative and customer service required. Experience in the arts & entertainment industry (film, tv, commercials, performing arts, live events) and/or interest in occupational health & safety an asset. Technology: Proficiency in using Microsoft Office (Outlook, Teams, SharePoint, Word, PowerPoint, Excel) required. Experience in other systems is considered an asset incl. virtual meetings (Zoom), customer relationship management (CRM), accounting (Sage), payroll (Ceridian), project management (Monday.com), learning management systems (LMS), digital payment (Bambora) PollEV, and DoodlePoll. Certifications: A valid Class 5 BC Drivers Licence required, and access to a vehicle preferred.
