Your new companyYou will be joining an extremely established Real Estate management company. They manage both Residential and Commercial buildings across the GTA. They are a growing organization who are looking to add top talent to their ranks as they continue their progression.Your new roleAs the Commercial Property Administrator, you will be working out of a Head Office based out of North York, ON. A Hybrid Work Model that allows 2 days Work From Home is available.You will be responsible for the preparation, maintenance, and administration of commercial leases for existing and new tenants. This includes completion of management reports, budgets, year-end reconciliations, and property insurance renewals.Main Responsibilities & ActivitiesTenant Lease Administration: Run, check for accuracy, approve and post monthly rent billings in system. Read and analyze relevant sections of lease for lease Abstract that includes the different responsibilities for charges. Set up Tenant in system and provide lease abstract to Senior PA and/or Manager for review and setup activation. Update all relevant information. Prepare CAM letter advising tenants of rental schedule and other standard notices. Advise Property Accountants of any adjustment to the tenants account. Update and maintain tenant insurance to ensure adequate coverage as per Lease Prepare, on request, Tenant Acknowledgements.Property Administration: Respond in a timely manner to tenant and landlord, inquiries relating to their account and charges. Prepare tenant correspondence including all CAM letters, Reconciliations letters and other correspondence. Post and deposit all rent payments. Perform regular AR reconciliations and maintain regular AR communications with Property Managers. Ensure timely renewal of property insurance. Forward all necessary information to the relevant insurance broker. Facilitate/negotiate renewals between the insurance broker and client. Provide tenants with yearly reminders relating to tenant insurance and maintain updated records. Provide all necessary documents to aid with due diligence that is undertaken for any potential sale of property. Prepare Vacancy Possession Letter and Default NoticesReconciliations: Set up expense pool for tenant reconciliation in excel file Coordinate with accounting and ensure compliance to leases for final year end reconciliations. Review to ensure lease terms are administered. Advise accounting of client approval, to process and posting. Send accounting prepared packages to tenants Submit final billings/credits to tenants and answer any enquiries.Budgets: Coordinate with operations and accounting to ensure timeliness and accuracy of budgets. Review to ensure lease terms are administered and prepare revenue portion of Operating budget ensuring all applicable Cost Pools are captured. Ensure Leasing Assumptions provided by Leasing Coordinator are included in revenue projections. Advise Accountant to download budget once finalized and approved by client. Prepare CAM notices for submission to tenantsWhat you'll need to succeedThe ideal candidate must have previous experience within Commercial Property Administration. The ideal candidate must have strong Microsoft Office skills (Outlook, Excel, Word, PowerPoint).
