Role Overview: Role Overview: The Legal Assistant / Law Clerk provides end-to-end administrative and clerking support across the firm''s core practice areas (corporate/commercial, wills & estates, and residential/small commercial real estate). This role also serves as a client intake and triage - answering phones, triaging inquiries, and coordinating calendars - while preparing documents from templates, managing deadlines, maintaining accurate records, and ensuring a consistent, high-touch client experience. Key Responsibilities Corporate/Commercial Prepare and file incorporations, amendments, and name searches; maintainminute books(resolutions, annual filings). Draft engagement letters, basic agreements (per templates), and closing binders; coordinate signatures andfiling deadlines. Manage corporate records, calendars (AGMs/ARs), ande-registrytasks. Wills & Estates Runintake(KYC/ID verification), schedule meetings, manage questionnaires. Format/draft wills, powers of attorney from templates; assemblesigning packages; oversee witnessing logistics. Open/close files, update precedent libraries, track execution and safekeeping instructions. Real Estate (Residential/Small Commercial) Open files; ordertax certificates, status certificates (condo), searches; liaise with lenders, brokerages, and opposing counsel. Prepareclosing documents(TR, DoR, undertakings, mortgage instructions) from templates; reconcile trust; assembleclosing packages. Coordinateclosings, registrations, discharges, and follow-up reporting to clients/lenders. Firm-wide Administration Answer phones/email professionally; triage inquiries; managecalendarsand deadlines. Draft correspondence; proofread for accuracy and compliance; organizee-filingand physical records. Maintain office supplies; collaborate on process improvements and checklists. Requirements Qualifications: Minimum of 3 years of experience in a law clerk/legal assistant capacity (multi-practice exposure considered an asset) Detail-oriented with strong organizational abilities and excellent proofreading/document production skills. Strong time management and ability to manage competing priorities and shifting deadlines in a high-volume environment. Professional, discreet, and client-focused; confident handling confidential and sensitive matters. Ability to work independently and as part of a team; proactive communicator who follows through and takes ownership. Tech-savvy and adaptable (Microsoft Office, PDF/e-signature tools, practice management/e-filing platforms; quick to learn new systems.
