Project Description We are looking for a temporary Clerical person to sit in our Port Hawkesbury office to backfill for a short term leave of absence. This is a client facing role, responsible for answering phones, talking to clients and contractors both on the phone and in person, supporting the application process, producing tenant related letters, creating and processing work orders, office filing, and general office support. We are looking for someone who has completed an office administration program and 3 years related experience. This person should be client service oriented and good communication skills Responsibilities Manage front desk duties, including greeting visitors and directing them appropriately Operate multi-line phone systems with professionalism and excellent phone etiquette Handle data entry tasks accurately using computer skills and software such as Microsoft Office and Google Workspace Maintain organized filing systemsboth digital and physicalto ensure quick retrieval of documents Support bookkeeping activities using QuickBooks or similar accounting software Assist with calendar management, scheduling appointments, and coordinating meetings Provide customer support by responding promptly to inquiries and delivering friendly service Proofread correspondence, forms, and reports to ensure clarity and accuracy Perform general office management tasks such as photocopying, faxing, and ordering supplies Support medical or dental receptionist duties as needed, including patient check-in and appointment scheduling Qualifications Proven office experience with strong organizational skills and attention to detail Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications Experience with data entry, filing, proofreading, and document management Familiarity with QuickBooks or bookkeeping software is a plus Excellent communication skills with professional phone etiquette; bilingual abilities are highly valued Strong typing skills with high accuracy; ability to manage time effectively in a busy environment Previous clerical or administrative experience in healthcare or office settings preferred Knowledge of multi-line phone systems and front desk operations preferred Personal assistant or medical/dental receptionist experience is advantageous Job Overview Upstaff Employment Services Inc. is hiring professionals to support a Government of Nova Scotia office relocation and File Room Digitization Project.
