Receptionist & Administrative Assistant (Non-Medical) Company: Max Immunity Clinic Inc. (Wellness Clinic) Location: Highway 7 and Warden, Markham, Ontario (On-site) Schedule: Monday to Friday, Full-time About Max Immunity Clinic Max Immunity Clinic is a wellness clinic focused on helping clients feel their best through personalized services such as IV drips, regenerative treatments, and a high-touch experience. We''re looking for a friendly, organized Receptionist & Administrative Assistant to be the first point of contact for clients and to support daily clinic operations. No medical background is required. Key Responsibilities Front Desk & Client Experience Welcome clients in-person and manage a warm, professional check-in/check-out experience Answer calls, texts, emails, and inquiries promptly and politely Confirm appointments, send reminders, and manage rescheduling/cancellations Handle basic client questions (services, availability, general policies) and escalate when needed Maintain a clean, calm, and organized reception area Administrative Support Support the team with daily admin tasks and internal coordination Maintain accurate client records (basic data entry, no clinical tasks) Process payments, issue receipts/invoices, and track daily transactions Assist with inventory/stock checks for front-desk supplies (forms, retail items, etc.) Coordinate basic vendor orders and deliveries (as needed) Clinic Operations Follow clinic procedures for privacy and professionalism Help the clinic run smoothly by staying proactive, organized, and detail-oriented Support special projects (light marketing support, printing materials, organizing files, etc. optional based on skills) Requirements No medical background required 1+ year experience in reception, customer service, hospitality, or administrative support (preferred) Strong communication skills (in-person, phone, email/text) Comfortable using basic tech: scheduling tools, Google Workspace/Microsoft Office, Stripe POS/payment terminals Professional, reliable, and punctual Friendly, calm under pressure, and great at multitasking Experience in a wellness clinic, spa, beauty clinic, or hospitality setting English and Mandarin (preferred) Nice to have Basic social media/Canva skills for small clinic tasks What You''ll Get Stable MondayFriday schedule Supportive team and positive environment Opportunity to grow with a new clinic Job Type: Full-time Pay: $20.00-$25.00 per hour Expected hours: 40 per week Language: Mandarin (preferred)
