OVERVIEW Vertex is seeking a driven and passionate Project Coordinator to partner with our Operations team at our Sherwood Park location. This is an exciting opportunity for an experienced individual with experience within the oil & gas industry with a solid background maintaining Alberta OH&S Standards, managing financial project impacts, coordinating responsibilities and collaborating with project teams. In this role, you will work alongside our Operations team to support Project Manager's throughout project lifecycles. Primarily your focus will be supporting the success of projects through the project initiation, planning and execution phases. We are seeking a local candidate with a proven track record of coordinating projects within a similar industry - someone who is highly organized, time efficient, enjoys a challenge and thrives multitasking in fast paced environments. CANDIDATE QUALIFICATIONS 2+ years of experience in the oil & gas industry 2 Year Diploma in a related field, 4 year University degree in related field preferred Advanced knowledge of MS Excel Experience maintaining Alberta OH&S standards Very strong written and verbal communication skills Skills in administrative tasks, organization and time management Maintain discretion and professionalism with confidential and compensation information Willingness to work on-site and travel to project locations as needed Willingness to work evenings and weekends as required Ability to operate equipment such as forklift, telehandler, picker truck would be an asset RESPONSIBILITIES Project Initiation & Planning Review and understand contracts & legal terms and conditions Understand and summarize scope of work Engage with internal and external stakeholders Review client requirements for safety tickets, drug and alcohol testing, fit testing, orientations and other trade certifications. Ensure crew has all required site requirements In consultation with safety department schedule training and drug testing for project teams Coordinate mobilization of crew members, vehicles and equipment Crew coordination, scheduling, monitoring and information distribution Communicating logistics with payroll and shop departments Support estimating team in bid tasks Provide scheduling support to project managers Adhere to quotation and procurement best practices as outlined by the procurement department. Review and support the creation of project related: Execution plans and drawings Health, safety, and environmental plans and standards. Human resources and staffing plans Financial plans, budgets and daily tickets Schedule and resource allocation plans QA/QC plans Booking and managing project accommodations and purchase orders Create manage and communicate requests for information (RFIs), clarifications and assumptions for the estimating process Prepare and ensure all resources are ready for mobilization to worksite Tracking project costs, budgets and timelines Project Execution Create, maintain and review project documentation, Including LEM workbooks Communicate project related information to other departments Prepare daily shift notes for review by project manager Monitor and track third party tickets Ensure daily sign-in/out matches timesheets for payroll Review load lists and confirm load accuracy Track on-site equipment inventories Forecasting and change management Attend projects meetings Ensure project documentation is up-to-date Coordinate personal replacement when appropriate from Project Manager and/or Client request VERTEX OFFERS Attractive Compensation Packages Comprehensive Health and Dental Coverage A Supportive Leadership Team A Safe Working Environment Stable Employment LOCATION This position will be based out of our Sherwood Park location VERSATILITY.
