The Awards Disbursements Officer is responsible for administering the disbursement of student funding, maintaining award records, and supporting the application and adjudication processes. This position ensures accurate and timely financial transactions and provides exceptional service to students and stakeholders. MAJOR DUTIES & RESPONSIBILITIES Responsible for the final vetting and disbursement of all Student Awards and Financial Aid funding disbursements, including awards, scholarships, bursaries, prizes, grants, and emergency funding. Determine appropriate payment methods (account credits vs. accounts payable). Maintain comprehensive award records in collaboration with the Awards Advisor and under the direction of the Awards Coordinator, including application links, automated rankings, adjudication timelines, and updates to the online Awards Guide. Prepare and manage communications for applicants and recipients, including templates, extracts, and ceremony coordination with Advancement, Deans and other senior leadership offices. Support financial reconciliation of award funds and liaise with Finance, Athletics, Graduate Studies, and academic departments to ensure accurate fund management. Assist in award adjudication, including GPA calculations, enrolment verification, document validation, and student record updates in compliance with institutional and government policies. Provide administrative support to Awards Advisors, including spreadsheet development, correspondence, and electronic file management. Offer advanced student support for award applications and respond to inquiries via multiple channels (in-person, phone, email, web). Coordinate with Advancement, external funders, high schools, and TRU campuses and centres. Assists with ensuring award-related content on the university website and other platforms remains up to date. REPORTS TO Awards Coordinator QUALIFICATIONS REQUIRED QUALIFICATIONS EDUCATION: Completion of a relevant two-year diploma or higher EXPERIENCE: Minimum two years of experience in financial data administration and customer service including one year of experience using spreadsheet tools SKILLS, KNOWLEDGE OR ABILITIES RELATED TO THE JOB High attention to detail and accuracy in data entry and reconciliation A working knowledge of double-entry bookkeeping in accounting transactions and analysis Demonstratable intermediate proficiency in Microsoft Excel, including relational queries and mail merges from Word Solid written and verbal communication skills Strong interpersonal skills with a focus on tact and diplomacy Proven ability to work independently as well as in a team environment Familiarity with office procedures in a digital and networked setting WORKING CONDITIONS Sitting at desk and computer for long periods of time and general office conditions Regular interaction with students and staff in-person and virtually
