We have an immediate opening for a full time, permanent, RENT ADMINISTRATOR POSITION SUMMARY: Undertake all administrative functions related to income calculations and rental adjustments in accordance with associated legislation and corporate procedures. Responsible for resident administration including rent determination and leases. Support tenant placement activities such as transfers, waitlists, credit checks, and tenant request letters. Coordinate legal notices as prescribed by the Residential Tenancies Act and the Housing Services Act, 2011 in relation to Rental changes (both subsidized and market). Follow up with tenants and Property Manager regarding Legal notices including over housed tenants. Coordinate income statements with Resident Managers for Rent Geared to Income (RGI) tenants. Perform all rent calculations in accordance with Housing Services Act, 2011 guidelines, including mid-term and annual verification, ensuring that each is reviewed by the designated reviewer. Co-ordinate income changes with Finance and verify monthly rent accuracy. Maintain Resident database regarding changes in rent and family composition and prepare new leases. Fulfill administrative procedures and documentation regarding subsidized rent notices. Provide regular reports for Rental. Maintain Internal Transfer Wait lists in accordance with the Housing Services Act, 2011 and Company policies. Maintain Coordinated Access Services for Victoria Park Community Homes'' regions. Fulfill back-up duties for Reception for breaks and vacation, when necessary. Fulfill back-up duties, of the Rental Coordinator during absences and peak high-volume periods. Perform other duties, consistent with the job summary, as may be assigned from time-to-time. Serve as main contact with all Regions access centers about centralized waitlist; obtain names for Resident Managers off waitlists for a subsidized unit. Respond to all inquiries from Region Access Centers, including about arrears. Complete Landlord Reference forms from other providers or landlords and for Ontario Works. Review access housing applications; track packages to Access to Housing. Fill out and verify market to RGI forms and over housed forms; keep updated records. Maintain over housed status; track and follow up for 1 yr. grace period; advise access centres. Conduct credit checks on all prospective tenants and advise Resident Managers of outcomes. Send refusal letter to applicants providing reason for refusal. Maintain credit check list and sign off credit check invoices. Manage full transfer process; maintain internal transfer waitlists, work with PM''s & RM''s about schedule for transferring tenants. Prepare transfer letter for tenant with required information and breakdown of money owing. Complete government assessment letters, ensuring information is accurate. Approve Addition of Household. Prepare tenant request letters; Ontario Works (OW) information forms; government assessment letters; reference letters; confirmation letters. Main contact with all Regions access centers centralized waitlist obtain names for Resident Managers off waitlists for a subsidized unit. MINIMUM EDUCATION AND QUALIFICATIONS: Possess a Community College Diploma in Business Commerce or equivalent OR 3-5 years of experience in a public service office environment. Have the knowledge and ability to work in Windows, Yardi Property Management Systems, Microsoft Word and Excel. Able to talk to, understand, empathize with, work with, and be tolerant to tenants, fellow workers, and visitors. Be able to handle difficult situations in a tactful manner. Possess good verbal and written communication skills and a high attention to detail. Be able to plan and organize work, set priorities, and work with minimal supervision. Be reliable, dependable, and possess sound judgment. Maintain security and confidentiality. Be able to learn, explain, and interpret new procedures, instructions, and regulations, particularly in relation to legal documentation. Possess a fundamental skill in bookkeeping, with experience in general accounting practices. WORK CONDITIONS AND SPECIAL REQUIREMENTS: Regular hours of employment are 8:30 a.m. 4:30 p.m. Monday to Friday, with two, fifteen-minute breaks, one in the morning and one in the afternoon, and a one (1) hour lunch break. The position is based at the corporate head office currently located at 155 Queen Street North, Hamilton. On-site parking is provided Occasional travel may be required.
