Job Description

Reporting to the Senior Vice President, Operations, VSY, the Senior Executive Assistant provides administrative support to the Senior Vice President, Operations, the Vice President, Production, and various departments, including Operations, HSE, Security, Facilities, and Planning. Their role ensures efficient office functioning and smooth administrative processes. They coordinate the planning and execution of the leaders activities and projects, helping achieve the offices strategic goals while upholding the highest standards of quality and confidentiality. Key duties include organizing meetings, handling correspondence and communications, managing schedules, arranging travel, and preparing documents and reports.Note: Due to business needs, this position is required to be fully on-site at 50 Pemberton Avenue, North Vancouver.What youll doProvides administrative support to the Operations and Production department and to Executive Support.Coordinates the planning and execution of the offices operational activities. Ensures smooth operation by developing and implementing procedures, processes, and work tools that align with strategic goals, orientations, and priorities, providing senior management with consistent and high-quality support services.Coordinates and confirms meetings to manage senior leaders' schedules effectively. Keeps member lists up-to-date, prepares and sends invitations and agendas. Also distributes necessary documents and follows up on decisions.Assists senior management in planning and executing priority and strategic initiatives.Leads planning and implementation of administrative activities and projects.Works on complex administrative processes and databases to develop and test procedures that align with organizational needs.Prepares and organizes complex documents using various applications for technological devices, including standard office software. Also, gathers and summarizes data to produce special reports.Coordinates venue, equipment, catering, accommodation, and travel arrangements for participants coming from different locations to ensure the successful execution of a medium-sized event.Partners with facilities to support ad hoc requests, which may include floor plan updates, reporting, and planning.Provides ad-hoc administrative support to other departments, including training, assistance, and collaboration with administrators within VSY and regional teams across Seaspan.Helps ensure our team has the necessary supplies in the right quality and quantity to perform their duties.Welcomes employees and guests warmly and proactively, while handling office inquiries and coordinating meeting room arrangements.What youll bringCompletion of a diploma or degree in business administration or a businessrelated field.Executive Assistant experience in a corporate office environment, supporting seniorlevel executives.Proficient in Microsoft PowerPoint, Word, Excel, and Outlook, with strong internet research skills, including effective use of search engines.Experience in corporate governance, including documenting minutes and resolutions during meetings and board sessions, managing corporate records and documents, and understanding contracting authorities and signing protocols for legal and banking documents.Excellent written, verbal, and interpersonal communication skills.Embraces responsiveness and availability, sometimes requiring afterhours support, including weekends, to meet business needs.Highly organized with strong multitasking abilities, capable of prioritizing and managing multiple assignments simultaneously to meet deadlines.Ability to work effectively under pressure in a fastpaced environment.Advanced knowledge of and technical proficiency with Microsoft Office products and officerelated technology.Easily works with minimal direction and broad guidelines.Ability to maintain discretion and confidentiality.Thorough knowledge of office procedures and standard operational practices.Resourceful and adaptable, with a willingness and ability to take initiative when necessary.A professional with a positive attitude.Why youll love working hereThis is a fulltime, permanent position. In determining final salary, Seaspan considers many factors, including the successful Candidate's skills and experience, as well as position location and internal equity.
