Job description ROLE SUMMARY The Administrative Assistant is a key member of our team as we seek to help our clients achieve lifetime financial security. As the Administrative Assistant, you will have three critical areas of focus on our team: 1. delivering an exceptional client experience for current and potential clients who call or come into our office 2. ensuring a full and balanced advisor calendar of appointments creating sales opportunities 3. helping to create a smooth, efficient and compliant office KEY ACCOUNTABILITIES: As a part of a small team, you will be required to, but not limited to, Appointment making / client follow-up calls Providing accurate, personalized client administrative services Completing and shepherding paperwork through Head Office as permitted Managing the administrative side of the advisor''s practice conscientiously and reliably to help ensure and maintain compliance Managing advisor''s workflow (preparation for client meetings, follow up, etc.) Supporting the Advisor to create marketing / sales opportunities (mining client data, marketing efforts, mailers, etc.) REQUIRED SKILLS AND COMPETENCIES: Interpersonal & Team Relationship Skills Strong relationship-building skills strong communicator, wants to be part of team, willing to receive and provide constructive feedback to make things better Administrative Skills Attention to detail, Thoroughness, Accuracy Strong Priority Setting: Prioritization Strong Keyboarding & Computer skills is familiar with basic word processing & office systems; is comfortable with computer programs and accessing computer systems Client Service Skills Pleasant / cheerful / happy enjoys customer service in a sales environment Strong verbal and written communication skills Is patient and composed under pressure Resilient, able to handle objections and challenges from clients Personal Reliability Action Oriented is proactive, takes initiative, self-starter Good judgment and common sense High Integrity and Trustworthy Dependable and Conscientious- able to work independently Experience in Financial services is an asset but can be overcome with a strong willingness to learn and develop. We offer a semi-flexible working schedule. We are looking for someone to work 5 6 hours per day 4 5 days per week. Ideally, a mutual fund license and/or mutual fund admin experience would be preferred, but not required. SALARY The salary range for this position is negotiable, based on part-time employment depending on the skills and experience of the candidate.
