Job Description

Job Title: Accounts Payable (''AP'') Specialist Reports to: Manager, Finance MBI Brands (''MBIB'') The A/P Specialist will ensure the timely and accurate processing of payment documents such as purchase orders, travel reimbursements, expense reports, and any other accounting transactions related to A/P management. This position involves diplomatic interaction to provide billing information and support in order to facilitate daily bank reconciliations. Responsibilities: Collaborate with the Manager, Finance and Construction Project managers to maintain A/P performance levels and timely processing of invoices. Review and import of Accounts Payable data, including weekly invoices and receiving for construction projects Review expense report submissions in Concur, follow up with approving manager where necessary and import approved reports to Sage Maintain Sales Orders in Sage for construction projects to facilitate final reconciliations Post and reconcile company payments to general ledgers. Responsible for EFT & Cheque runs, and ensuring vendors are paid within payment terms Ensure all address and banking information is up-to-date for all vendors, updating Sage vendor records as required Reconciliation of vendor statements to ensure the integrity of accounts and limit exposure to penalties Review bills to the company for potential errors and/or discrepancies. Investigate and resolve billing discrepancies or misapplied cash transactions. Ensure the strict confidentiality and privacy of financial records as they relate to the organization and its business partners. Investigate payment problems while following corporate A/P policies and procedures. Other duties as assigned Qualifications: Educational background in Business Administration and/or Accounting/Finance Proficient in Sage 300/ ACCPAC Software is a must A minimum of 2-3 years relevant experience in a fast-paced office environment Effective attention to detail and a high degree of accuracy. Excellent teamwork and team building skills. Able to effectively communicate both verbally and in writing. Demonstrated ability to accurately calculate, post, correct, and manage accounting figures and financial records. Strong knowledge of payment regulations and fair credit practices. Must possess a high level of moral judgment for handling confidential information and monetary transactions. Able to perform moderate to complex account reconciliations. Strong problem identification and problem resolution skills.
