Description The Humanities Institute in the Faculty of Arts is currently seeking a Full-time Regular Manager, Calgary Institute for the Humanities. The Manager reports to the Director of the Calgary Institute for Humanities (CIH) and is required to manage the Institute''s day-to-day operations and its relationship with the larger University and Calgary communities. The Manager manages a part-time support person and student interns, and has a range of administrative duties in space that is physically located in the Biological Sciences Building and separate from the Faculty of Arts. The Calgary Institute for the Humanities, Faculty of Arts, supports research in the traditional humanities disciplines such as languages, literature, history and philosophy, as well as in philosophical and historical aspects of the social sciences, sciences, arts and professional studies. In addition to its role at the University of Calgary, CIH encourages humanistic study outside of the university, and dialogue between the academic community and the general public. Programs of the Institute include fellowship appointments, working groups, independent research initiatives by University of Calgary faculty, strategic research projects, community partnerships, and events. Through these programs, the Institute promotes the value of the humanities and the work of scholars in the Faculty of Arts to campus, local, national, and international audiences. The Manager will have a varied workload and is expected to work effectively and proficiently with a variety of stakeholders both internal and external to the University. In addition to the normal administrative workload associated with the position, there will be increased demands during the peak periods when the Fellowship Competitions and Community Forum require organization. A key pillar of the institute is public engagement and the Manager will also be responsible for planning and supporting our Annual Lecture Series and events connected to the Calgary Atlas Project. Frequent interaction with a diverse group and internal and external clients will require discretion, flexibility and integrity as well as excellent skills in time management. The ability to work collaboratively, communicate effectively and support others in their goals is essential. This is a regular, full-time position, 35 hours per week, Monday to Friday, 8:30-4:30. When the Institute hosts lectures and other special events, typically 1 to 2 evenings per month, work will be required outside of regular hours. The Manager manages all the operations of the Institute. Responsibilities include supervising an administrative assistant and graduate student interns, managing the Institute''s budget, reporting on budget to actual, working with the Faculty of Arts Finance Partner to prepare the annual budget and variance reporting, creating budgets on financial reports for each special event, making routine financial decisions on space-related expenses, non-salary items and space maintenance, and preparing purchase orders. The Manager is the budget owner for most CIH accounts. In addition, the Manager manages all aspects of the fellowship program including managing the application process, allocating workspace to the fellows, oversight of Institute space, maintenance and any necessary renovations. Another major responsibility is to develop communication strategies to reach the Calgary community (and national and international audiences when desired), manage special events, develop relationships with numerous stakeholder-groups, and support fundraising activities. This aspect of the role requires excellent interpersonal skills, responding to public inquiries using professional and clear communication. The Manager also must be proficient with graphic design software and have strong writing skills to develop, write, design and publish high quality, accurate communications materials such as posters, newsletters, and postcards, update the Institute''s website, and manage email marketing campaigns for the Institute and its working groups. The Manager also acts as the events manager for the Institute and is responsible, in conjunction with the administrative assistant or interns, for evaluating and booking suitable venues, managing staff and third-party contractors, arranging for travel for guest speakers, completing risk assessment forms, and payment of speaker''s fees for public lectures, book launches, and an annual day-long community forum. A high level of technical proficiency working with A/V and video recording equipment is required, along with the ability to anticipate and adapt to technical and logistic problems when they arise. The Manager also develops and manages partnerships with internal and external groups to increase audience engagement, establish opportunities for co-sponsorships, and build the reputation of the Institute and the University of Calgary. The Manager supports the research activities of the Institute by undertaking background research, by investigating funding opportunities, and by assisting in the preparation of grant applications. The Manager is also responsible for organizing Institute Advisory Committee and Executive Council meetings quarterly; as well as organizing all travel arrangements for visiting speakers. Summary of Key Responsibilities (job functions include but are not limited to): Full managerial discretion over an administrative assistant position, and graduate interns. Manages the Institute''s budget, reporting on budget to actual, working with the Faculty of Arts Finance Partner to prepare the annual budget and variance report, creating budgets and financial reports for each event, making routine financial decisions on operational expenses, non-salary items, space maintenance and purchasing orders. Develops and maintains a central event file for each event; coordinates catering, audiovisual equipment, and technical requirements. Responsible for all aspects of organizing and executing Institute events including in-house seminars, conferences and public lectures: venue selection, program materials, promotional materials, A/V, livestreaming, registration, catering, on-site support, and post-event reporting and financial statements. Coordinates programming with teams across the university (e.g., Arctic Institute of North America, Office of Equity, Diversity and Inclusion, Advancement/Alumni). Coordinates meetings, agendas, minutes and action items from both the quarterly meetings of the Advisory Committee (composed of eleven representatives of the Calgary community) and the regular meetings of the Executive Council (composed of nine U of C faculty members). Works with the Communication team to create content for the Faculty of Arts social media channels. Manages the application process for fellowship competitions and support the Director and Executive Council in the selection process. This is an annual process and the Manager is responsible for all aspects of adjudication including publicizing the fellowships, managing the application process, liaison with applicants, working with the Executive Council in decision making, notifying successful applicants and managing appointments. Creates a supportive research environment during the fellowship terms by being attentive to the resident and visiting fellows'' working conditions by developing and implementing a supportive infrastructure within the Institute. Writes, designs, and edits a semi-annual Newsletter and an Annual Report. Performs background research for the Annual Community Seminar and for other initiatives as required. Researches funding opportunities and assist in the preparation of grant applications. Supervises administrative assistant, graduate interns, and temporary staff to meet the goals of the CIH. Mentors, coaches and supports the professional development of graduate students, students and casual staff. Supervises the activities of the Interdisciplinary Working Groups, understands their goals and ensures their activities align with UCalgary policies and procedures, and refers any requested programming changes to the Director for approval. Ensures necessary office equipment is purchased and maintained as required and supports faculty, students and staff in use of office equipment such as videoconferencing equipment and printers. Coordinates and administers any special projects undertaken by CIH, researching best practices, synthesizing multiple sources of information, and developing new project guidelines. Oversees accounting functions including: purchase orders, bill payments, expense reports for reimbursement (for visiting scholars, speakers and the Director), scholarship payments, payments of honoraria, and transfers of funding from or to other departments. Maintains and archives all CIH files and documents. Provides assistance to the Director in the preparation of grant applications, recruitment of Fellows, budget preparation and program development. Provides extensive information and documentation as requested for regular unit review of the CIH. Facilitates communication between CIH fellows and Director, councils and Director, and Director and the Dean of Arts. Facilitates communication between the Director and CIH stakeholders. Liaises with staff from: Faculty of Arts; Office of Advancement: Office of Equity, Diversity and Inclusion: Development; Conference and Events; Risk Management and Insurance; Supply Chain Management; and Finance. Qualifications / Requirements: The minimum qualifications are an MA or MFA in a humanities discipline (or closely related field) or equivalent experience. A PhD would be an asset. 5+ years of experience in one or more of the following disciplines: senior administrative support, events management, professional writing, graphic design, grant writing, academic research. The Manager must be able to work independently, be self-directed and proactive; possess exceptional organizational skills; have excellent communication and interpersonal skills, and be able to balance decisiveness with consultation. Proficiency with graphic design software (Intermediate skills with Adobe Photoshop and InDesign required). Proficiency with Microsoft Office software (Word, Excel, Outlook), webpage maintenance (Drupal), social media applications, and the ability to quickly understand and effectively use new applications is required. Experience in a PeopleSoft database and management environment is an asset. Demonstrated analytical thinking and problem-solving abilities. Proficiency in event management software and tools. Familiarity with catering, audiovisual setups, working with vendors and contracts. Ability to work under pressure and meet deadlines. Available to work in the evening and on weekends (as required).
