As Canada''s largest mental health care provider, the Centre for Addiction and Mental Health provides evidence to drive system and policy change through the implementation of innovations and novel service delivery interventions. The Research Operations, Services and Support (ROSS) Office is a central group within CAMH Research that provides administrative support to ensure that all research activities carried out at CAMH or CAMH personnel comply with funder, government, and institutional policies and regulations. The ROSS Office is seeking a full-time, contract (1-year) Administrative Assistant reporting to the Director, Grants, Philanthropic Awards and Contracts. This role will be an integral member of the ROSS team and will support the administrative directors and management within ROSS and work closely with scientists and research staff. The role will be primarily responsible for the management of ROSS director calendars, coordination of ROSS initiatives, processes or research institute events, back-up responsibilities for other ROSS assistants, and to support ROSS directors in their day-to-day tasks. The successful candidate will support a workplace which embraces diversity, encourages teamwork and complies with all applicable and regulatory requirements. The successful candidate will be required to provide assistance on a wide range of confidential organizational, and program related projects and issues. Responsibilities will include, but not be limited to: Provide operational and administrative support to 4 ROSS directors Support for onboarding of ROSS personnel and if applicable research staff and scientists Respond to internal/external inquiries, schedule and coordinate appointments and meetings and take minutes Support general administration and coordination of ROSS workflows and research institute initiatives and events Assist with special projects directed by ROSS administrative directors Other duties include organize and maintain filing systems, database entry and management, general ROSS communications and office management and any other duties as assigned by the supervisor. This position is primarily located at 250 College Street with occasional travel to 1001 Queen Street West. Job Requirements The Administrative Assistant must have: Post-Secondary Certificate, Bachelor''s Degree or Diploma in Office Administration or a related discipline 3 years of secretarial/administrative experience, or an equivalent combination of education and experience. Experience in the healthcare or academic sector is preferred. Excellent communication skills demonstrated by experience drafting formal letters or mass communications Excellent customer service skills Advanced knowledge of MS Software (Excel, Word, PowerPoint, Outlook) Exemplary attention to detail Excellent interpersonal skills, tact, and discretion and a genuine interest in supporting scientific research Experience with working in an academic or healthcare environment is an asset Ability to quickly find, learn and assimilate new information Ability to prioritize and handle a high volume of diverse projects simultaneously Ability to capture and articulate risk issues Ability to communicate and problem-solve with a diverse variety of stakeholders and team members who may have conflicting interests and priorities Ability to handle sensitive and confidential information in a professional manner Compensation & Benefits: Hiring Salary Range: $53,230.40 $66,538.00 per year ( based on qualifications and experience ) Full Salary Range: $53,230.40 $79,845.60 per year ( reflecting potential growth within the role ) CAMH Benefits Package: Includes extended health and dental coverage, HOOPP defined benefit pension plan, paid vacation and sick leave, and professional development opportunities.
