The Department also houses the tri-campus graduate programs in sociology, with over 100 graduate students enrolled. Your Opportunity Under the general direction of the Graduate Chair and the Associate Graduate Chair, the incumbent performs a broad range of administrative duties for the Sociology graduate program including the administration of teaching assistantships. The incumbent works closely with Graduate Chairs, faculty, and staff in a collaborative team environment focused on supporting graduate student success. Your Responsibilities Will Include Implementing plans and process improvements for graduate program activities. Coordinating admissions and recruitment processes, including determining logistical requirements, reviewing and assessing applications, preparing files for committee consideration and promoting programs at recruitment events. Coordinating the preparation, maintenance, and distribution of program and course materials, including handbooks, websites, and other communications. Analyzing and maintaining statistical and administrative data to support enrolment projections, course planning, timetabling and reporting. Creating, editing, and coordinating program communications, including the preparation of materials for current and prospective students (e.g. brochures, e-newsletters, social media, and web platforms). Advising current and prospective graduate students on academic and financial matters by explaining policies, options, and implications, with sensitivity to individual circumstances and diverse backgrounds. Making informed referrals and supporting individuals with appropriate referral contacts. Coordinating the recruitment and administration of teaching assistantships and instructional appointments, including interpreting eligibility guidelines, verifying course access in student information systems, and processing payroll. Ensuring compliance with university procedures and guidelines. Handling sensitive and confidential information Serving as a key administrative resource for the graduate program. Essential Qualifications Bachelor''s Degree or an acceptable equivalent combination of education and experience. Minimum four (4) years of relevant experience in academic program administration and student services in a post-secondary environment or research-intensive institution. Experience with advising students and faculty members on academic guidelines and procedures. Experience with administering admissions processes, fee deferrals, course enrolment, timetabling, grades, and final oral examinations. Demonstrated experience with administering and maintaining information in a student information system and related databases, including extracting, processing, analyzing and presenting information to leadership for decision-making. Experience performing data validation, data reconciliation and developing statistical reports. Experience making recommendations for business process improvements. Experience coordinating scholarships & fellowships with internal and external contacts. Experience coordinating the postings and appointment of teaching assistant positions. Demonstrated experience with providing administrative support to committees. Experience with the Faculty of Arts and Science guidelines to generate departmental funding models, or an equivalent process. Demonstrated experience and ability to calculate graduate funding packages, with preference for having worked with with CUPE 3902 Unit 1 collective agreement guidelines and policies. Experience serving in a leadership capacity and directing activities of casual staff members. Experience using HRIS or similar systems to process payments. Demonstrated experience with using web-based applications, databases and editing web pages. Strong skills and experience in developing and maintaining records and database systems. Strong knowledge of and experience working with collective agreements, with preference for having worked with with CUPE 3902 Units 1 and 3 collective agreements. Proficiency with the student information system (ROSI) or similar systems, and WordPress. Advanced skills with MS Office including Word and Excel with the ability to organize data and generate reports. Excellent oral and written communication skills. Professional demeanor with a strong customer service orientation and effective interpersonal skills to effectively deal with students, staff and faculty. Highly organized with good time management skills. Ability to set priorities and maintain confidentiality. Proven judgement, tact, initiative and diplomacy. Demonstrated ability to coordinate event logistics and perform event setup and closure, including but not limited to standing, bending, lifting and above shoulder reaching etc. Demonstrated ability to take initiative and work pro-actively.
