Job Description We are seeking a proactive and highly detailoriented Facility Operations Specialist who will play a pivotal role in identifying, preventing, and mitigating operational noncompliances across our P3 facilities. This role is focused on systematically reviewing operational activities, uncovering risks before they escape, and ensuring that all maintenance, service delivery, and asset management activities meet contractual, regulatory, and internal compliance requirements. You will report directly to our Field Service Manager. Preferred work location is Calgary, AB, and we are willing to consider applicants ready to work in ON or BC as well. As a key member of the Compliance and Standards Team, the successful candidate will work closely with the Field Service Manager, Facility Managers, and client teams to perform forwardlooking compliance reviews, correct deficiencies, and enhance the reliability and quality of our operational delivery. This position is ideal for someone who thrives on analyzing details, building preventative processes, and driving excellence through compliancefocused operational oversight. Key Responsibilities Proactive Operational Compliance Reviews Conduct routine, structured reviews of facility operations to detect early signs of noncompliance or service drift. Validate work order quality, asset history, documentation accuracy, and adherence to preventive maintenance schedules. Perform fieldlevel spot checks, audits, and site inspections to proactively verify that operations align with contractual obligations. Identify gaps in processes, documentation, subcontractor performance, or technician delivery before they become formal noncompliances. Investigate potential and actual service delivery noncompliances, providing analysis and rootcause assessments. Work with field teams to create and implement corrective action plans (CAPs) and preventive action strategies (PAPs). Track recurring issues across sites to identify operational patterns, systemic risks, and areas requiring process revision. Support the Field Services Manager by ensuring all mitigations are effective, closed on time, and thoroughly documented. Operational Monitoring & Performance Assurance Review maintenance performance indicators (completion rates, overdue work orders, lifecycle adherence) to detect compliance risks. Validate asset information, maintenance outcomes, and service quality within the CMMS. Develop compliance dashboards and operational scorecards that highlight risk areas, upcoming obligations, and emerging trends. Ensure all operational activities are documented to an auditready standard. Maintain centralized records for inspections, certifications, asset conditions, and compliance testing. Prepare supporting evidence for internal and external audits, ensuring accuracy and completeness. Collaborate with technicians, contract partners, and subcontractors to correct operational gaps and ensure continuous compliance. Communicate noncompliance risks proactively to stakeholders with clear recommendations and timelines. Facilitate meetings and reviews focused specifically on potential noncompliances and mitigation progress. Process Improvement & Preventive Controls Recommend updates to SOPs, maintenance workflows, and service delivery processes to reduce the recurrence of noncompliances. Support training initiatives to reinforce compliance expectations, documentation standards, and operational best practices. Contribute to continuous improvement programs aimed at reducing service variability and strengthening contract alignment. Qualifications Must Have: Diploma or technical certification in Facilities Management, Building Operations, Engineering Technology, or a related discipline. Minimum 5 years of experience in facility operations, building maintenance, or technical service delivery. Minimum 3 years of experience with compliancedriven roles or environments (P3, institutional, healthcare, or commercial). Minimum 3 years of experience with HVAC, electrical, plumbing, and fire/life safety systems. Willingness to travel up to 50% within Canada. We Value Proficiency with CMMS platforms and data accuracy practices. High attention to detail with the ability to identify subtle noncompliances or early indicators of risk. Strong analytical and documentation skills with a proactive mindset. Ability to build collaborative relationships and drive accountability across operational teams.
