Applications will be accepted until Friday, January 30, 2026 at 11:59 p.m. Purpose To assist in the management of Grey County''s electronic and physical records Responsibilities Records Management Working within Sharepoint to assist in managing records, files, notices of destruction Reviewing retention labels in Sharepoint against the retention by-law for completeness and correctness Sorting, labelling and boxing files for shredding or storage Review, prepare and designate records for destruction, review and retention Assist all departments with sorting and reviewing records Preparing destruction notices Communicating with staff on tips for managing records Working with the Records and Contract Specialist on preparing file spreadsheets for departmental use Review and repair tracking sheets for inconsistencies, duplicates and broken links Assist with the creation of a physical document inventory by working with departments on locations of physical records, identifying off site storage locations, filing cabinets, etc., and estimated volume counts Identify opportunities for consolidation or improved storage Review documents for correct metadata tagging and flag potential issues Identify potential duplicate files for review and deletion Flag records that appear to be past their retention period but have an altered creation date in Sharepoint Assist in migrating documents from network drives to SharePoint libraries General SharePoint Housekeeping such as deleting empty folders Digitization Support Assist with scanning records for digital storage Add scanned files to the digital tracking spreadsheet/database. Administrative & Support Tasks Filing, labeling, and organizing new physical agreements. Updating inventory of physical file boxes (location, contents, destruction date). Preparing labels, destruction lists, and destruction request forms. Shredding or prepping boxes for shredding. Assisting with ad hoc records clean-up projects. Working Conditions Hours of work are based on 35 hours per week, Monday to Friday Works in a public office situation and must be accessible to other employees. Work may be subject to frequent interruptions and office type distractions. As Records Management Student, the work may require travel to and work in storage areas of various departments and facilities throughout the County. Contacts Internal Working Relationships Requirement for ongoing working relations with staff at all levels. External Working Relationships External contacts include general public, staff from other municipalities, and other government offices. Knowledge and Skill Preference will be given to students pursuing a post secondary degree or diploma in a related field (Information Management, Library, and Information Science, Law Clerk or Public or Business Administration Experience handling and maintaining confidential and highly sensitive material with tact and discretion. Ability to work independently and coordinate with others Requires strong attention to detail and the ability to work in an area where frequent interruptions occur. Ability to communicate well both verbally and in writing. Strong organizational skills including time management and initiative. Knowledge of office operations including Microsoft Office, Adobe, SharePoint and records management software.
