Position Summary FACE is seeking a highly organized and proactive Administrative Assistant to the Executive Director to provide part-time administrative and operational support in a consultant capacity. This role works closely with the Executive Director to support daily operations, scheduling, communication, and coordination across programs. The ideal candidate is detail-oriented, flexible, and comfortable working within a non-profit, client-focused environment. Position Details Status: Consultant Position with potential of Contract-to-Hire position Start Date: February 2026 Contract Length: 11 months (through December 2026) Hours: Part-time, approximately 23 days per week Compensation: $20$22 per hour, depending on experience Location: In-person with some flexibility, as approved Key Responsibilities Administrative & Executive Support Provide direct administrative support to the Executive Director, including calendar management, meeting coordination, and document preparation Assist with internal and external communications, including emails, letters, and notices to families, staff, and stakeholders Support preparation of agendas, minutes, and materials for Board meetings Scheduling & Systems Support (FACE-Specific) Assist with scheduling and staff coordination using WhenToWork Support onboarding tasks for new staff, practicum students and interns (documentation, scheduling setup, general orientation materials) Track staff availability, time-off requests, and general scheduling needs in collaboration with senior staff Finance & Program Administration Support Assist with administrative aspects of invoicing and tracking payments, working closely with the FACE bookkeeper Support organization of FSCD-related documentation, including tracking contracts, addendums, and participant attendance (administrative support only) Help maintain accurate and organized digital and paper filing systems Program & Operations Support Support day-to-day operational needs of FACE programs, including children''s, youth, adult, camps, and respite programming Assist with drafting program communications, registration information, and reminders to families Support logistics related to special events, camps, fundraisers, and community outreach General Office Support Maintain office organization and supplies Support policy and procedure documentation as needed Assist with special projects as assigned by the Executive Director Qualifications & Skills Previous experience in an administrative or executive support role preferred Strong organizational, time-management, and communication skills Comfortable using online scheduling systems and databases Ability to manage confidential information with discretion Proficiency with email, word processing, and spreadsheets Experience in a non-profit, healthcare, education, or social services setting is preferred Personal Attributes Reliable, adaptable, and detail-oriented Professional and compassionate communication style Comfortable working independently while collaborating with a small team Alignment with FACE''s mission and values How to Apply Interested candidates are invited to submit a resume and brief cover letter outlining their experience and interest in the role.
