Job Description

Position Summary The Program Administrator provides administrative services to support the operations of the Stewardship Programs. Duties include but are not limited to verifying claims for program funding, tracking and assessing downstream processors, compiling statistics and reports, and supporting ARMA industry councils. The position interacts with registered processors, collection sites, ARMA Field Services and Registration and Compliance teams to ensure and verify program funding provided is compliant with the requirements of the program. Core Responsibilities Ensure processor incentive claims received are reviewed and verified according to established methodology. Supporting documentation is validated prior to submitting for payment approval in accordance with organization policies and procedures. liaise with processors to correct incomplete or inaccurate incentive claim packages. Ensure ongoing and timely communication with processors on program related matters. All incentive claim information is entered accurately and on time within the appropriate systems. Ensure documentation for all processors and approved downstream processors in accordance with the incentive program requirements. Collaborate with other departments to ensure any non-compliance issues are communicated and followed up on with respect to processor documentation and incentive claims. As a member of the Program Administration Team, provide data, analysis and/or reports in accordance with organization policies and procedures. Respond to program inquiries from the interested parties including but not limited to; the public, internal team members and registered or prospective processors. Cross-training to provide support and backup for the Program Administration Team. Maintain files in the central and electronic system according to organization records management policy. As assigned, participate in program related special projects. Perform general administrative duties as required. Other Duties May be required to act as project coordinator for special projects. May be required to perform administration of grant programs. Occasionally participate in field operations such as site inspections and round up events. Maintains an understanding of and adheres to Alberta Recycling policies, procedures, and standards. Contributes to a positive and safe culture by modeling the organizational values. Performs other job-related duties and assists other team members as required. Experience and Competencies Business Administration Certificate or Diploma, or equivalent. Equivalent combination of education and experience may be acceptable. A minimum of one year in an administrative, data analysis or program advisor role is strongly preferred. Proficient in using Office 365 applications with above-average competency in Excel (ex: Pivot Tables). Strong data analytical skills and ability to adopt new processes. Demonstrated ability to be flexible and adaptable within a growth-oriented environment. Exceptional attention to detail. Ability to perform tasks that are complex in nature or require multitasking. Ability to perform tasks requiring a sustained level of activity, the need to meet deadlines, or high expectations for productivity. Well-developed organizational skills, clear, calm communication, advanced written communication, and exceptional interpersonal skills are required.
