Job Posting PASS Temporary Human Resources Assistant Supporting Health & Safety Team The Waterloo Catholic District School Board serves over 38,000 learners and provides services to students in 50 schools (Kindergarten to Grade 12 and adult learners) across the Waterloo Region. We are seeking a Health & Safety Administrative Assistant who is passionate about promoting safe, compliant, and supportive workplaces. In this role, you will play a vital part in upholding health and safety standards across our schools and administrative sites, directly contributing to the well-being of thousands of staff and students. The successful candidate will report to the Health and Safety Supervisor. Key Responsibilities Manage Safety Team general mailbox and daily customer service needs. Coordinate and track mandatory safety training via LMS. Prepare and distribute monthly safety communications. Record minutes for Joint Health & Safety Committee meetings and share updates. Process incident reports and follow up on workplace inspections. Manage PPE inventory and coordinate ergonomic assessments. Support budget tracking and reconcile safety-related purchases. Collaborate with internal teams and external vendors for training and compliance. Maintain and update Health & Safety resources and website content. Provide administrative support for WCDSB safety programs. Minimum Requirements: A 2-year post-secondary diploma or certificate in Human Resources, Health & Safety, or related field. Minimum 3 years in an administrative role, preferably in HR or Health & Safety. Proven experience in a professional office setting, with comprehensive knowledge of health and safety legislation and regulatory frameworks, along with familiarity with collective agreements and key statutes such as the Employment Standards Act, Human Rights Code, Workplace Safety and Insurance Act, Education Act, FIPPA, and PIPEDA. Advanced proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and database systems. Ability to work collaboratively within a large team and independently with minimal supervision. Experience with HR or safety-related software and database management systems. Solid understanding of HR and Health & Safety principles in a multi-unionized environment. Highly organized with strong problem-solving skills and ability to manage multiple priorities. Committed to maintaining confidentiality and handling sensitive information with discretion. Strong commitment to customer service with excellent interpersonal, verbal, and written communication skills. Valid Ontario driver''s license and reliable transportation. Desirable Assets: Experience creating promotional materials (brochures, posters). Previous experience in a school board or educational setting. Participation on a Joint Health & Safety Committee. Excellent organizational and communication skills. Salary Range: PASS Level 2: $65, $76,517.27 per year in accordance with the PASS Terms of Employment.
