How you''ll make a difference: An exciting opportunity exists for an individual with excellent administrative skills to work in a dynamic client-focused service environment. This position provides support to two Directors (and their leadership teams, Employer Account Services as well as Claims Support, Dispute Resolution & Quality Assurance). The Director''s Assistant plays a key role in keeping priorities moving, anticipating needs, coordinating schedules, tracking actions, and improving administrative workflows in a fast-paced environment. Your responsibilities: Gather information and prepare attendance reports for all staff absences. Database management and providing support by completing reporting. Coordinate regular meetings, maintain electronic appointment schedules and assemble meeting information including follow up on action items. Organizes and participates in team activities, coordinates and books rooms for team meetings and presentations. Plans logistics for divisional events including coordinating with external venues. Coordinate travel, education, and staff related activities along with payment of expenses. Manage the incoming and outgoing mail for the department. Act as an information resource for internal and external clients. Manages the purchase of office supplies, ergonomic equipment and is accountable for budget allocation for these expenses. Support digital-first ways of working, including document version control, Teams-based collaboration, and maintaining organized shared files. Identify opportunities to streamline administrative processes (templates, tracking, meeting routines) and recommend improvements. Provide support to executive assistants when necessary as well as perform other administrative tasks as required. Your experience and skills: Post-secondary education in business or office administration. Five or more years of progressively responsible administrative experience supporting senior leaders. Experience supporting multiple leaders is an asset. Intermediate to advanced knowledge of software packages including Microsoft Word, Excel, Access, PowerPoint, and Workday. Strong digital fluency and confidence adopting new tools, including AI-enabled workplace tools Identify opportunities to streamline administrative processes (templates, tracking, meeting routines) and recommend improvements. Demonstrated ability to learn new systems quickly (Workday and collaboration platforms) and help others use them effectively Ability to work independently and under pressure with excellent organizational and planning skills. Strong proofreading and editing skills and attention to detail. Exceptional communication and interpersonal skills. Proven ability to adapt to changing priorities and competing deadlines. Team player with positive attitude and strong customer service focus.
