Job Description Cozen O''Connor LLP is seeking a motivated, full-timeLegal Assistant to support our growing Corporate and Capital Markets practice group in Toronto. This is a newly opened position and a unique opportunity to primarily support three lawyers with substantive and administrative work in an engaging and fast-paced practice. The ideal candidateis enthusiastic and able to multi-task under numerous and tight time constraints, with unwavering attention to detail. This position requires excellent communication, organizational skills, and extreme confidentiality. This is a hybrid role with 3 days per week required onsite. Onsite requirements may evolve over time, and the role may require work outside of standard business hours to support operational needs. The first 30 days will be onsite full-time to ensure a smooth onboarding experience with hands-on training and collaboration. The expected annual base salary range for this position is $60,000 - $80,000. The offered salary will be determined based on factors such as job knowledge, skillset, experience, and internal and market equity. Responsibilities Maintains efficient file management and bring-forward systems, including opening files, preparing engagement letters and managing client identification and verification requirements; Prepares/transcribes, edits and formats correspondence, memos, reports, and forms; creates and sets up precedents and templates; Diligently maintains lawyers'' calendars; schedules and coordinates meetings and conferences, including greeting clients and distribution of material; Accurately captures lawyers'' time narratives via emails and calendar, and inputs into the accounting system; Provides efficient workflow including the duplication, printing, mailing, and merging of documents; Manages time entries and billing processes, wiring of funds and trust payouts, and accounting issues; Coordinates and schedules travel arrangements which include transportation, automobile rentals, and hotel reservations; Prepares expense reports and cheque requests; Responsibilities associated with the job may change from time to time in accordance with business needs; incumbent may be required to perform other relevant duties as assigned. Qualifications 3-5 years of experience as an executive assistant or legal administrative assistant; paralegal/law clerk experience an asset; Office administration, legal assistant and or paralegal/law clerk diploma/license preferred; Previous corporate and law firm experience preferred; Foreign law degree considered an asset; Strong technical aptitude and enthusiasm for continuous improvement and upskilling; Full proficiency in Microsoft Office applications with advanced levels in Word and Outlook; intermediate to advanced level in Microsoft Excel an asset; Knowledge of Closing Files considered an asset; Outstanding written and verbal communication with the ability to professionally interact with clients, lawyers, and all levels of the Firm; Ability to work efficiently and effectively under pressure, with exceptional time management skills; Ability to work effectively both independently and as part of a team to maintain smooth workflows.
