Title: Executive Assistant Reports to: (2) C-Suite Executives Based at: 135 Michael Cowpland Drive, Suite 200, Kanata, ON, K2M 2E9 This role is a replacement due to internal employee growth and development. Job Purpose: We are looking for a driven, outgoing and skilled Executive Assistant who acts as a team glue and a baller with a strong attention to detail, collaboration, communication and emotional intelligence skills. They enjoy having things in order, putting smiles on people''s faces and helping everyone. They wear multiple hats, keeping the two (2) C-Suite Executives organized, prioritize calendars and schedules, spreadsheets completed, people happy and questions answered in a timely manner. They work with the high-paced executives and grow their skills every day.This person will be included in confidential decision making of the C-Suite Executives so privacy and discretion is required. Responsibilities Provide executive support to (2) C-Suite Executives Coordinate meetings, calendars, events and other arrangements Coordinate travel arrangements: prepare itineraries, plan logistics, and submit expense reports Coordinate projects and communications as directed by the C-Suite Exec Draft minutes of meetings and create action items Prepare meeting agendas, and supporting material for clients, vendors and manufactures Organize overall logistics support for the executive team meetings: event preparation, travels (itineraries, hotel bookings, etc.), document gathering. Assist C-Suite with documents, communications, and presentations Manage communication while maintaining confidentiality of highly sensitive information. Project managing specific projects when asked to help by C-Suite Execs. Other duties as required. Experience and Qualifications 5-7 years of executive administration experience. Post-secondary education in business, computers, or office management is preferred. Preference will be for those who have taken a business administration course. PowerPoint, Word and Excel savvy. Comfortable with information systems and databases (e.g. NetSuite, Salesforce, etc.) Personal Characteristics Communicate effectively : speak, listen and write in a clear, thorough and timely manner using appropriate and effective communication tools and techniques. Solve problems : assess problem situations to identify causes, gather and process relevant information, generate possible solutions, and make recommendations and/or resolve the problem.
