Job Description

The Safety and Training Administratorsupports the Learning & Development department by coordinating daily administrative tasks, maintaining records, and assisting with training logistics. This role provides scheduling, record keeping, and documentation support within the Training and Safety departments, contributing to 4Seasons'' overall mission of providing students with disabilities safe, reliable, and quality school transportation. Hours:Monday to Friday, 8:30 am 4:30 pm Work Location: 4Seasons Head Office What You''ll Do Documentation Management (Core Focus) Develop, revise, format, and maintain procedural documents, SOPs, training guides, checklists, and safety documentation. Translate operational requirements into clear, accurate, accessible documentation. Standardize document templates, naming conventions, and version control processes. Identify inconsistencies, gaps, or outdated content and recommend improvements. Process Improvement & Critical Thinking Review current administrative and training workflows to enhance efficiency, clarity, and compliance. Analyze data trends, audit file accuracy, and create documentation to improve processes. Independently identify issues, propose solutions, and implement improvements with minimal direction. Administrative Support & Coordination Maintain organized digital and paper filing systems with a high level of accuracy. Track training completions, certifications, compliance forms, and safety documentation. Prepare internal communications, meeting summaries, updates, and reports. Enter data into systems, maintain logs, and support the creation of new forms or tracking tools. Collaborate with Operations, Student Care, Fleet, HR, and Supervisors to close information gaps and ensure compliance. Provide reception support and general administrative duties as required. What You Bring Post-secondary education at a university or college level is considered a strong asset. A self-starter mindset with an able to work independently, anticipate needs, and take initiative to improve processes and documentation. 24 years of experience in documentation management, recordkeeping, and report preparation. Exceptional attention to detail, analytical mindset, critical thinker with an ability to identify improvements. Excellent organizational skills, strong communication and writing skills, with the ability to explain complex ideas simply. Advanced proficiency in Microsoft Office (Excel, Outlook, Word). Advanced computer skills, including proficiency with online systems that enhance work efficiency. Experience with BambooHR is an asset. Demonstrated leadership grounded in empathy, integrity, and safety-first values. Location Calgary, Alberta Employment Type Full-Time Minimum Experience Experienced Compensation $ CA$29.00 per hour
