Summary of the Role Reporting to the Corporate Environmental Health and Safety Manager, the Corporate Environmental Health and Safety Administrative Assistant is responsible for assisting with initiation and coordination of the clerical and administrative functions within the Company. Additionally, this role will be responsible for assisting corporate safety staff as well. Key Responsibilities Assist the EHS team with the preparation, maintenance, and organization of safety and environmental compliance documentation. Perform data entry and manage EHS databases or systems. Track and input employee training records. Monitor training record expiry. Assist with uploading subcontractor documentation as required. Archive documents, as needed. Communicate with site personnel when records submitted are not adequately completed. Create electronic purchase orders when requested. Maintain floor plan and head count checklists for head office. Assist EHS Coordinators with various items that arise throughout the week. Provide support to project sites, including structural steel office as requested. Maintain documentation on company document control system. Arrange, participate in, and organize conferences and meetings, as required. Use various software programs. Perform filing, faxing, and preparing memos, email, and letters, as directed, including the filing of correspondence and internal documentation. Use various software applications to assemble, manipulate and/or format data and/or reports. Assist in the preparation of internal communications such as safety alerts, newsletters, and bulletins. Prepare and distribute start up packages for jobsites and keep the location matrix current. Assists with the pre-qualification process for the organization. Maintain and order supplies related to EHS programs and personal protective equipment (PPE). Key Requirements, Experience and Skills Completion of a secondary school diploma. Degree/diploma in Business Administration is an asset. Previous administrative experience working within a construction or industrial environment is preferred. Proficiency in the use of Microsoft Office (Word, Excel, Outlook) and Adobe programs. Strong written and verbal skills. Works well under pressure in a fast-paced, deadline-driven environment and can prioritize work with a sense of urgency.
