Overview We are a growing boutique mortgage brokerage seeking a highly organized, proactive, and personable Brokerage Coordinator to support our leadership team, mortgage agents, and lender partners. This is a full-time, in-office role for someone who thrives in a fast-paced environment, enjoys relationship management, and plays a key role in maintaining smooth operations, compliance, and brand presence. Responsibilities Act as the office greeter and first point of contact, maintaining a warm, professional, and positive office environment Manage calendars, schedule meetings, and coordinate internal and external bookings Assist with meetings, preparing agendas, presentations, and decks Provide ongoing administrative and operational support to leadership and agents Assist with expense tracking, invoicing, payment follow-ups, and sponsorship/marketing fund administration Maintain accurate and organized financial and operational records Support FSRA-related matters including mortgage licence registrations, renewals, inquiries, and audits Coordinate and track compliance training for agents and staff Maintain internal compliance logs, records, and procedures Coordinate onboarding and ongoing support for mortgage agents and new hires Support FSRA licensing requirements, systems access, and internal process orientation Assist with training coordination and professional offboarding/de-hires Support and maintain positive relationships with agents, lenders, and external partners Coordinate lender sessions, presentations, and ongoing training opportunities Manage social media, community engagement, and brand messaging Support a consistent and professional rollout of the brokerages new brand Coordinate promotional materials, basic design, and branded asset ordering Conduct outbound calls using a dialer for sales, service follow-ups, and marketing initiatives Support brokerage and agent growth initiatives through proactive outreach Qualifications Strong relationship management skills with a professional, client-focused approach Excellent written and verbal communication skills Proficiency in Microsoft Word, PowerPoint, and Canva Strong organizational skills with exceptional attention to detail Comfortable with outbound calling and professional phone communication Experience in mortgages, financial services, or other regulated industries is an asset Licensing Mortgage licence required or willingness to obtain mortgage licensing within three (3) months of hire.
