ABOUT THE POSITION The Payroll Analyst supports the HR and Finance departments in the accurate and efficient administration of the organization''s payroll and employee compensation. This includes processing payroll, ensuring compliance with tax and labor regulations, maintaining payroll records, managing benefits and deductions, and providing payroll-related reports and analysis to support strategic HR and financial decisions. The Payroll Analyst is a member of the Finance team, reporting to the Finance Manager. This role ensures accurate and timely processing of payroll through the ADP system, administration of employee benefits, and compliance with payroll legislation, tax requirements, and labor regulations. Payroll data must be accurately incorporated into the NetSuite accounting system to support financial reporting and effective decision-making across the organization. The position requires strong attention to detail, in-depth knowledge of payroll legislation, proficiency in ADP and advanced Excel skills. The ideal candidate will be comfortable collaborating with HR staff, program managers, external auditors, and the Finance Manager to support organizational goals. AREAS OF RESPONSIBILITY Process bi-weekly payroll for Canadian employees accurately and on schedule using ADP Workforce Now Collect, verify, and input payroll-related data, including new hires, terminations, compensation changes, deductions, garnishments, loans, and other adjustments. Validate payroll inputs and perform payroll audits and reviews, including timesheets, special payments, terminations, and adjustments. Partner with HR department to reconcile payroll data, track labor costs by program/grant and support audits and funding reports Manage and process remittances to government agencies, unions, and other entities (CPP, EI, income tax, WCB, EHT, ROEs, union dues, etc.). Administer wage garnishment orders, Employment Insurance (EI) claims, and handle correspondence with government agencies about employee filing and employer responsibilities. Apply payroll processing in accordance with Collective Bargaining Agreements (CBAs) for unionized roles. Oversee month-end payroll processes and ensure timely completion. Prepare and complete year-end filings including T4s, and other annual reconciliations Generate payroll reports for management, finance, and HR as needed. Manage and update payroll system data, including union rates, vacation, statutory holiday pay, taxable benefits, and payments. Administer the time and attendance management system; participate in testing and implementation of payroll system upgrades or new modules. Provide support for total rewards functions, including benefits and retirement plan administration (health insurance, life insurance, RRSPs, extended health/dental care). Provide excellent customer service to employees and managers, resolving payroll-related questions. QUALIFICATIONS & SKILLS A post-secondary school degree in Accounting, Payroll, Human Resources Management, or a related field. Minimum 24 years of experience working with payroll & HRIS systems (BambooHR preferred). Strong working knowledge of Canadian payroll legislation, including CRA and ESA requirements. Strong Proficiency with ADP Workforce Now, NetSuite and other finance software. PCP or CPA certification (completed or in progress) is an asset. Advanced proficiency in Microsoft Office Suite, include Excel, Outlook and Word. Experience with monthly, year-end processing and e-filing. High attention to detail, accuracy, and confidentiality. Strong written, verbal communication and reporting skills and a focus on delivering positive employee experience.
