Job Description

Job Overview We are seeking an experienced and detail-oriented Dispatch Manager to oversee the coordination and management of transportation operations within our logistics team. The ideal candidate will ensure efficient dispatching, optimize freight movement, and maintain seamless communication across departments. This role requires strong organizational skills, proficiency with various management systems, and excellent communication abilities to support our supply chain and third-party logistics (3PL) operations. Responsibilities Assess and prioritize incoming freight requests or issues to ensure timely handling and resource allocation. Identify urgent shipments or service disruptions and escalate to the appropriate team or carrier as needed. Monitor all active shipments from pickup to delivery to ensure on-time performance. Ensuring all the relevant details for both the pick-up and delivery locations are confirmed and updated in the profiles. Validating client and vendor details. Location cleaning. Updating accessorial quotes. Ensuring all orders are booked in the freight management software. Maintain accurate tracking data in the TMS (Transportation Management System) and proactively address exceptions. Ensuring clean notes are input with the correct pricing to avoid invoice disputes. Keeping clients and vendors updated on the progress of the shipments. Communicating status updates, delays, or delivery confirmations to customers and internal stakeholders via telephone and e-mail. Validating shipment paperwork (bill of lading, airway bills, commercial documents). Onboarding new clients and vendors. Supporting the Logistics Specialists in various tasks. Data entry. Experience High school diploma required; post-secondary education in logistics, supply chain, transportation, or a related field is an asset. Previous experience in an office, customer service, administrative, or operations support role is considered an asset but not required. Entry-level candidates with a strong willingness to learn are encouraged to apply. Strong attention to detail and ability to accurately enter and maintain data. Basic computer skills and comfort working with multiple systems (training provided on freight management software/ TMS). Ability to prioritize tasks and follow established processes in a fast-paced environment. Clear and professional communication skills, both written and verbal. Comfortable communicating with clients, carriers, and internal teams by phone and email. Strong organizational skills with the ability to track multiple shipments at once. Ability to follow instructions, ask questions when unsure, and escalate issues appropriately. Reliable, punctual, and able to work independently as well as part of a team.
