SummaryThe Human Resources Assistant plays a key role in supporting the daily operations of the Human Resources department, working closely with the Director of Human Resources, HR Associate, and Finance team. This position is heavily focused on recruitment and onboarding while also providing broad HR generalist support. This role is responsible for managing job postings, screening applicants, coordinating interviews, facilitating new hire orientations, and maintaining employee data within the HRIS. This role will also provide general administrative and operational support to both the Human Resources and Finance departments to ensure accuracy, efficiency, and compliance. The ideal candidate is organized, detail-oriented, adaptable, and passionate about supporting a positive, professional, and inclusive workplace culture. Requirements Diploma or degree in Business Administration, Human Resources, or a related field. Minimum 1 year of experience in a HR or recruitment-related role (co-op or internship experience considered). Experience working with HRIS platforms (Humi/Employment Hero) preferred. Knowledge of Ceridian or Blackbaud considered an asset. Government of Canada Personnel Screening and/or Criminal Record Check and Child Abuse Registry Check will be required Strong understanding of provincial and federal employments standards. Proven ability to manage multiple priories in a fast-paced, confidential environment. Experience working in a non-profit or unionized environment considered an asset. Hours of WorkThis is a full time position of 40 hours per week with an understanding that days, evening, and weekends may occasionally be required. This is an awake position, staff are required to stay awake, alert, and vigilant at all times while on duty. ResponsibilitiesRecruitment & Onboarding Coordinate full-cycle recruitment, including job postings, applicants screening, interview scheduling, reference checks, and offer letters. Support hiring managers, ensuring timely and effective staffing in response to organizational needs. Manage recruitment-related communications and ensure a professional candidate experience Facilitate employee onboarding and orientation sessions for new hires. Represent Shelter Nova Scotia at job fairs and other recruitment events HR Administration & HRIS Maintain accurate and confidential employee records in both electronic and paper formats. Update and manage information in HRIS platforms to ensure data integrity (Humi, Employment Hero) Support the development and maintenance of HR reports, organizational charts, staff complement and training lists. Assist in administering employee benefits, training, and certification tracking Prepare various HR documents, correspondence, and reports as needed Employee Engagement & General HR Support Provide direct service HR support and respond to employee inquiries Support employee engagement initiatives, recognition programs, and training events. Assist in the coordination of volunteer and student placements Participate in special project and HR initiatives as assigned. Other Assist with payroll processing, including timesheet and data entry. Provide backup support in general finance functions such as bank deposits, reconciliations, and accounts payable/receivable as required. Support and collaborate with the Finance Department as required. Serve as Secretary for the Joint Occupational Health & Safety Committee. Promote and support a safe workplace culture by adhering to the Nova Scotia OH&S Act and internal policies. Report safety hazards, incidents and participate in safety initiatives. Perform other duties as assigned QualificationsCompetencies Diploma or degree in Business Administration, Human Resources, or a related field. Minimum 1 year of experience in a HR or recruitment-related role (co-op or internship experience considered). Experience working with HRIS platforms (Humi/Employment Hero) preferred. Knowledge of Ceridian or Blackbaud considered an asset. Government of Canada Personnel Screening and/or Criminal Record Check and Child Abuse Registry Check will be required Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) Strong understanding of provincial and federal employments standards. Proven ability to manage multiple priories in a fast-paced, confidential environment. Experience working in a non-profit or unionized environment considered an asset. Certifications Workplace Hazardous Materials Information System (WHMIS) certification First Aid/CPR level ''C'' or be willing to acquire CPHR designation (or eligibility) is considered an asset. Working Conditions Fast-paced, dynamic environment requiring focus, attention to detail, and the ability to manage multiple competing priorities. Requires regular computer use, sitting for extended periods, and occasional lifting of materials. Must maintain a high level of confidentiality, professionalism, and discretion at all times.
