Front Desk Administrative Assistant (medical office) We are seeking a senior, experienced and personable Front Desk Administrative Assistant to support a busy medical office in Toronto, ON. You will have a variety of responsibilities and support their daily operations, ensuring an efficient front desk reception area, and provide exceptional service to their patients, visitors while supporting the leadership team. The ideal candidate is organized, proactive, flexible and thrives in a fastpaced medical environment. Answer and direct phone calls; respond to general inquiries with accurate information. Ensure the reception area operates smoothly during business hours. Administrative Support Monitor and distribute incoming mail, faxes, courier packages, and voicemail messages. Prepare outgoing correspondence, including faxes, mail, and courier shipments. Maintain office supply inventory; order and organize stock as needed. Assist with onboarding and training of new team members. Sort lab reports and file documentation according to established procedures. Patient Administration Contact referred patients to schedule or confirm appointments. Send appointment confirmation letters. Register new patients and prepare new patient charts. Provide instructions to new patients for procedures. Process billing for outpatient procedures and medications. Prepare signup sheets and labels for daily procedures. Some of the qualifications and skills/attributes for the Front Desk Administrative Assistant job opening in Toronto, ON include: At least 5 years experience in a medical office setting in a similar role. Postsecondary education in administration, business, or office management is an asset. Demonstrated ability to work effectively in a fastpaced, team-based environment.
