Intake Coordinator Overview NYRC is growing! We are looking for a skilled Intake Coordinator for a busy multidisciplinary Independent Medical Examination Centre . Responsibilities The Intake Coordinator will be responsible for scheduling assessments and booking associated services, as well as processing documentation. The role requires a high level of professionalism, confidentiality, and the ability to work under tight timelines while remaining flexible and proactive. Handle intake of new referrals from various sources. Review referrals for completeness and appropriateness of requested assessment. Input referral information into IME-Centric, add case notes, and archive emails per Company policies. Schedule examinations through IME-Centric for single and multiple assessments. Confirm appointment dates and times with physicians offices. Communicate with clients regarding appointment scheduling, physician CVs, changes, noshows, cancellations, and receipt of medical records and/or images. Coordinate with the client to obtain required medical records prior to examination. Review medical documents to check for conflicts of interest, breaches in confidentiality, duplicates, and match assessment type; move cases to appropriate queue. Communicate with physicians, clients, and examinees regarding any changes due to cancellation or rescheduling. Coordinate ancillary services such as interpretation, chaperones, transportation, and exam site rentals when needed; cancel or reschedule services upon appointment change or cancellation. Make reminder calls to examinees in advance of the assessment date if required. Confirm examinee attendance, request consent forms, and inform client of any noshows and direction. Handle and respond promptly to incoming calls, emails, or faxes from physicians or clients requesting report status and/or information. Arrange lodging and/or transportation for outoftown examinees; arrange diagnostic tests as required. Monitor various work queues to ensure all cases are followed up on and moved forward per company standards. Participate in various educational and or training activities as required. Qualifications Prior experience scheduling insurers examinations, including catastrophic determination and medicolegal assessments. Complete knowledge of general computer, fax, copier, scanner, and telephone. Proficient in multiple software programs, including but not limited to Microsoft Word, Outlook, Excel, and the Internet. Qualified typist with a minimum of 40 W.P.M. Ability to follow instructions and respond to Managements directions accurately. Demonstrates accuracy and thoroughness; looks for ways to improve and promote quality and monitors own work to ensure quality is met. Owns work and demonstrates strong communication skills by conveying necessary information accurately, listening effectively and asking questions where clarification is needed. Independent, prioritize work activities, and use time efficiently. Maintain confidentiality. Build positive relationships with customers, vendors, and all internal staff. Strong sense of urgency and works well under tight timelines and/or stressful conditions. Practices calmly in volatile situations. Working knowledge of the SABS legislation.
