The Opportunity Assistant Property Manager provides operational, financial, and tenant-focused support to the Property Manager to ensure efficient daytoday portfolio operations, strong tenant satisfaction, and compliance with BGO standards. What You Will Do Property Management Assist in the oversight of the daytoday management of the properties. Assist in ensuring building revenues and expenses are managed within the approved budget; analyze monthly financial statements and prepare monthly management reports; ensure tenant billings and yearend adjustments are correct and conform with leases. Conduct regular building, common areas and vacant space inspections. Document accordingly. Assist in ensuring excellent tenant relations through personal contact, development of tenant retention plan, and excellent customer service. Interact and effectively communicate with senior and asset managers with respect to financial performance, property operations, staffing and tenant relations. Maintenance and updating of tenant contact information, for timely collection and recording of tenant insurance certificates. Assist with insurance and appraisal tours as directed. Tender and administer all regular operating contracts as directed. Update and maintain contract summaries. Monitor and follow up on tenant maintenance requests to ensure overall service delivery is consistent with BentallOak standards. Review monthly reports and follow up as required. Assist with tenant events and tenant appreciation initiatives as directed. Project Management Assist with tenant and Landlord construction capital coordination, including tendering, awarding and executing approved projects. Assist with tenant moveins and moveouts, including Welcome Package checklists and procedures. Assist in ensuring efficient operation, maintenance and repair of properties including compliance with government regulations, achievement of maintenance/life safety standards and sourcing cost effective ways to operate. Financial & Reporting Assist with annual budgets including data input and compilation of final package. Manage property budgets, review invoices, and ensure payments are made within applicable timelines. Assist in preparing monthly owner''s reports, including analysis of financial statements and variance reports. Responsible/accountable for rent collection, cheque posting and application of money to tenant accounts, reviewing monthly recurring billings, report weekly on status of account receivables and prepare rental letters. Process all cheques, invoices and related reports and systems within Yardi as assigned. Read and understand leases to ensure accurate information is received and maintained. Read and review Lease Review Checklists and reports (LRC''S). Ensure the timely review and distribution of annual and interim rental statements and yearend recovery statements. Assist with AR collection, as required Code, verify and ensure that accounts payable invoices are entered in Perceptive in a timely manner, consistent with the cheque run schedule. Monitoring of leaserelated payments (i.e., progress billing on work orders, tenant allowances, etc.). Maintain and update tenant information, including phone numbers, contact names and emergency contact information as changes occur. Other tasks and responsibilities may be required from time to time. Who You Are 4+ years of related experience. General accounting knowledge. Postsecondary business related education preferred. Working towards BC Rental Property Management Licensing or being open to obtain one within 24 months. Professional designation or postsecondary or undergraduate courses in property management are an asset. Police Clearance A criminal verification check is required for employment. The Expected Base Pay Range: $75,000.00 - $85,000.00. The Base Pay range is for the primary location for which the job is posted.
