Job Description

This role provides administrative, analytical, and customer service support to the Equipment, Parts and Service Team to ensure smooth and efficient operations. The position is responsible for accurate order processing, payroll tracking, service reporting, and the preparation of customer proposals for both scheduled and reactive service requests. Acting as a key liaison, the role ensures timely and effective communication between customers and internal service personnel. A strong focus on accuracy, responsiveness, and customer service supports positive customer relationships and operational success. This is an onsite roll. Job Type: Full-time, Permanent Duties and Responsibilities Provide analytical data and reporting to support key parts and service-related activities, including tracking service trends, parts usage, and operational metrics to support informed decision-making. Manage timely order processing , ensuring accuracy and completeness while preparing detailed customer proposals and quotations for service-related requests. Ensure accurate entry and maintenance of payroll tracking data for service staff, supporting timely and correct payroll processing. Assist service Tech on Admin duties including Paperwork, Utilization Tracking, Monthly Logs etc. Prepare and deliver accurate quotes for Equipment, Parts and Service based on customer requirements. Work closely with the sales, operations, and service teams to ensure quotation alignment on pricing and delivery commitments Coordinate with suppliers and vendors for special pricing or availability requests, ordering and follow approval workflow. Deliver clear, professional, and effective customer communication , responding to inquiries, coordinating service details, and providing updates as required. Ensure the timely submission and accuracy of service reports , maintaining organized records in accordance with company standards and procedures. Act as a liaison with the Equipment, Parts and Service . Co-ordinating the flow of information related to service calls, parts requirements, scheduling, and documentation. Prepare customer proposals for both scheduled and reactive service requests , ensuring scope, pricing, and timelines are clearly defined and aligned with customer needs. Arrange logistics/transportation for equipment, rentals and parts. Demonstrate outstanding customer service by proactively addressing concerns, supporting resolution of issues, and fostering positive, long-term customer relationships and timely response. Perform other duties as assigned , supporting the overall effectiveness and efficiency of the service and operations teams. Job Qualifications 1-3 years relevant work experience with College Diploma in Business Administration or similar program Strong analytical skills with an ability to gather and analyze data in Excel. Written, and verbal communication with the ability to communicate with internal and external customers on issues concerning scheduling and billing. Ability to promote and support a service-oriented environment, working as a team. Demonstrates a high level of accuracy with multiple priorities, even under pressure. Demonstrates time management and priority setting skills. Proficient in MS Office 365 applications specifically Excel. Previous experience with CRM, ERP programs is an asset You will be required to work a 37.5-hour work week, Monday through Friday. Your day will begin at 8:30a.m. and end at 4:30 p.m. This shift may be adjusted according to business demands if required.
