Summary: The Accounting Administrator is responsible for managing the organization''s financial processes, including accounts payable and receivable, payroll, donations, and reconciliations. This role supports the Executive Director and external bookkeeper, ensuring accurate financial records, compliance with regulations, and timely reporting. This role collaborates closely with the Bookkeeper to reconcile accounts and maintain financial compliance. This is a temporary, Part-time contract position covering a maternity leave for a period of 12 months. The selected candidate will be expected to fulfill the role''s responsibilities for the duration of the leave, ensuring a seamless transition and continuation of financial operations. JOB DESCRIPTION: Accounts Payable: Process and maintain accurate records for vendor and supplier invoices. Coordinate and send invoices for timely payment processing. Prepare cheque payments for approval and distribution. Monitor credit card transactions, resolve discrepancies, and track refunds/returns. Ensure accuracy of invoices and related financial documents. Accounts Receivable: Process incoming payments (cash, cheque, credit card) for funder contributions, expense reimbursements, and donations. Match corresponding payments with relevant invoices. Ensure timely and accurate bank deposits for all received payments. Monitor and follow up on outstanding accounts receivable under the guidance of the Bookkeeper and Executive Director. Payroll Administration: Process bi-weekly payroll using ADP ensuring accuracy, compliance, and timely submissions. Reconcile timesheets with supervisors, resolve discrepancies, and process adjustments (e.g., overtime, deductions). Maintain and update employee payroll records in the payroll software. Process payroll-related changes (new hires, terminations, adjustments) in the system. Ensure payroll complies with legal requirements and internal policies. Generate payroll reports for management and relevant departments. Prepare and issue Records of Employment (ROEs) for terminated employees in timely manner, as required Ensure timely submission of payroll-related remittances and filings (e.g., T4s, CRA remittances). Review reports and remittances issued from payroll software to ensure their accuracy and address discrepancies. Donation Oversight: Oversee and maintain the donor database, ensuring accurate records for donations. Prepare and distribute tax receipts for eligible donations. Month-End and Periodic Reconciliations: Perform month-end reconciliations for bank accounts, credit cards, and vendor accounts. Track and maintain special accounts using QuickBooks Online (QBO) and Excel. Annual Audit: Assist in preparing for the annual audit by compiling necessary financial documentation. Respond to auditor queries and ensure required records are complete and accurate. Support the preparation of financial statements and schedules. Other Duties: Provide general administrative support to the external accountant and finance team as needed. Assist with special projects and tasks as assigned by the Executive Director. Qualifications Requirements: Associate''s degree in accounting, Finance, or a related field is an asset. 1-3 years of experience in accounting or administrative support roles, preferably in a non-profit or similar. Proficiency with QuickBooks Online (QBO) and Microsoft Excel. Experience with payroll software and financial tools. Strong ability to maintain accuracy and thoroughness in financial record-keeping and data entry. Ability to prioritize tasks, manage time efficiently, and meet deadlines. Strong written and verbal communication skills, with the ability to work collaboratively with staff and external stakeholders. Ability to maintain confidentiality and handle sensitive financial data with discretion.
