Overview Executive Assistant to the President & CEO Location: Midtown Toronto (Yonge & Davisville) Schedule: 100% in-office, MondayFriday Employment Type: Temp-to-Perm Compensation: $35$39 per hour Experience Required: 57 years Position Overview We are seeking a highly driven, energetic, and exceptionally organized Executive Assistant to provide high-level administrative and strategic support to the President & CEO and the Board of Directors. This role goes beyond traditional administrative dutiesyou will act as a trusted partner to the CEO, anticipating priorities, organizing workflows, and helping maximize executive effectiveness. The ideal candidate is entrepreneurial, proactive, and confident working in a fast-paced, executive-level environment. You bring positive energy, strong judgment, and the ability to seamlessly integrate into the CEOs day-to-day operations while maintaining discretion and professionalism. Responsibilities Provide comprehensive administrative and coordination support to the President & CEO and Board of Directors, including complex calendar management, meeting coordination, and preparation of agendas, materials, and briefing documents Serve as Board Secretary, including recording and distributing meeting minutes, tracking action items, and ensuring timely follow-up Act as a primary point of contact for Board members, members, senior executives, and external stakeholders, managing communications with professionalism and discretion Anticipate executive needs by proactively organizing priorities, preparing task lists, and queuing up next steps to support decision-making and efficiency Coordinate scheduling, travel arrangements, meeting logistics, and event or venue liaison support for the executive team and regional offices Maintain highly organized, accurate, and confidential executive, governance, and corporate records Develop and continuously improve administrative systems and processes to enhance workflow and productivity Support special projects, initiatives, and ad hoc requests aligned with organizational priorities Qualifications 57 years of experience as an Executive Assistant supporting senior executives or C-suite leaders Exceptionally strong calendar management skills with the ability to optimize time and manage competing priorities Advanced Excel skills and strong proficiency with Microsoft Office and related tools Highly organized with strong file management and attention to detail Self-starter with an entrepreneurial mindsetcomfortable taking initiative without being asked Confident working side-by-side with the CEO to organize priorities and provide structure to daily workflows Ability to anticipate needs, think several steps ahead, and proactively manage tasks and deadlines Professional, discreet, and trustworthy with sensitive and confidential information Positive, dynamic, and engaging personalityenergetic, adaptable, and eager to contribute #J-18808-Ljbffr
