Responsibilities Greet visitors and clients in a courteous and professional manner at the front desk; Provide exceptional customer service by addressing inquiries promptly and professionally; Foster and support client relationships by liaising with clients, responding to requests, and proactive problem solving; Proactively manage incoming and outgoing phone calls with clients; Manage scheduling, appointment setting, and calendar management for staff and clients; Maintain organized filing systems both electronically and physically; Support administrative tasks such as photocopying, faxing, mailing, and document proofreading; Process, follow up on, and file all necessary client transactions and transfers; Be involved in preparing and reviewing daily reports, client correspondence, and taking ownership of project work; Open and/or close accounts and manage all documentation requirements to do so, paying very close attention to details; Become proficient in all office software necessary to do the job both effectively and efficiently (CRM Software, Univeris, MS Office); Update accounts and create bi-annual portfolio reviews; and Ensure that the general tidiness of the office is maintained. Requirements/Qualifications Drawing on industry experience in a financial services firm, the candidate is a self-motivated individual with exceptional administrative skills and a dependable nature. You bring to the role an ability to work within deadlines both independently and as part of a team, proven effective time management skills, and a focus on customer service. Training will be provided, but the following attributes will be key considerations in the hiring process: Proven clerical or administrative experience in an office setting; Strong computer skills with proficiency in Microsoft Office (Word, Excel), Google Workspace, and data entry software; Excellent organizational skills with the ability to multitask effectively in a fast-paced environment; Exceptional phone etiquette with experience managing multi-line phone systems; Attention to detail for proofreading documents and maintaining accurate records; Strong customer service skills with a friendly and professional demeanor; Ability to handle filing systems efficiently and independently, maintaining confidentiality of sensitive information; and High school diploma is a minimum, but a diploma or degree preferred; additional administrative training is advantageous.
