Title: Online Sales Specialist Location: Calgary Regional Office (37 Quarry Park Blvd SE, Calgary) Hybrid work optional based on approval. At Sterling Homes, our people make the difference. Job Overview Reporting to the Sales Manager, as the Online Sales Specialist act as the first point of contact for all inbound buyer and realtor inquiries across Calgary and area communities. You deliver fast, professional responses; qualify and nurture prospects; set appointments for on-site sales teams; and maintain accurate CRM records and reporting. You also manage texting and automation workflows to improve speed-to-lead, engagement, and appointment conversion Your day-to-day responsibilities will include: Sourcing leads from all marketing platforms, and address client inquires in a professional and timely manner. Lead Response & Customer Experience Responding to all website/online leads within the required service level (e.g., within 30 minutes during assigned hours; otherwise by the start of the next business day. Maintaining active online chat coverage during assigned hours and responding to chats within required timeframes. Providing accurate, helpful information about communities, homes, pricing ranges, programs/incentives (as applicable), and next steps to support buyer decision-making. Qualification, Nurture & Follow-Up Discipline Qualifying all responsive leads (budget/financing readiness, timeline, needs, desired community, home type, and realtor representation). Applying a structured follow-up cadence for non-responsive leads and building long-term nurture plans for stalled prospects. Re-engaging inactive past registrants (>30 days) and determining an appropriate long-term strategy (revive or close file). Appointment Setting & Community Sales Handoff Scheduling appointments in show homes with the appropriate Community Sales Team and sending complete appointment confirmations with relevant prospect details. Registering Realtors in the realtor portal and ensuring represented customers are flagged/shared with the Sales Team for proper registration at first appointment. Following up after appointments with the Area Manager/Sales Team; document outcomes and next steps in CRM for continued follow-up. CRM Ownership, Texting Automation & Data Quality Maintaining ''total familiarity'' with HubSpot CRM and digital assets (websites, landing pages, social channels) and use them to support lead conversion. Managing texting and automation workflows (e.g., immediate response texts, appointment reminders, nurture sequences, re-engagement campaigns Maintaining complete lead records and activity history from first contact through outcome/closing where applicable. Reporting, Funnel Management & Continuous Improvement Delivering weekly reporting on new leads, appointments set/kept, lead sources, source performance, contracts and closings attributed to appointments. Monitoring and reporting lead activity and conversion ratios Providing actionable insights to Sales and Marketing on lead quality, community demand, and friction points. Product/Community Knowledge & Market Awareness Maintaining strong knowledge of each community and surrounding amenities (schools, drive times, shopping) plus pricing/lot availability; stay informed on competitors to strengthen positioning. Scheduling regular visits to show homes to stay current on product and building strong relationships with Community Sales Teams. Collaboration, Training & Standards Assisting the sales team with CRM usage/training and communicating changes/ initiatives led by OSS/Marketing. Participating in meetings/seminars and maintaining professional standards Supporting marketing and social media content distribution as needed; ensure templates/ scripts are approved Developing and presenting an annual business plan with lead projections, conversion strategies, and development goals (per timeline As our ideal candidate, you are A strong communicator; you clearly express your thoughts in conversation and in written communication. A creative problem solver; you think outside the box for solutions without fear of failure. Essential Requirements High School Diploma, or equivalent. Minimum 6 months of customer service or sales experience. Valid driver''s licence and access to a reliable vehicle. Satisfactory verification of criminal record check. Proficient in Microsoft Office programs (Outlook, Word, Excel, Teams, SharePoint and PowerPoint), Remote Access Systems (NewStar Sales), and CRM platforms. Virtual sales skills including using video conferencing platforms, and speaking clearly and effectively on camera. Preferred Qualifications Experience with sales contact management database is an asset. Previous experience as it relates to the homebuying experience is preferred. Work Conditions You work TuesdaySaturday, 10:00 am6:00 pm (with occasional additional hours for Showhome coverage, promotions, and urgent customer escalations).
