Job Description

Brintnell Counselling & Psychology is a growing multidisciplinary mental health practice based in Edmonton, Alberta. We are currently operating virtually, with plans to open a new in-person clinic location in June. We are seeking a reliable, self-sufficient Administrative Assistant with prior experience in private practice settings, who can work independently while collaborating closely with a small, dedicated team. This role is ideal for someone who enjoys ownership, problem-solving, and making systems run smoothly, and who is comfortable working independently within a collaborative team. Position Details Hours: 515 hours per week (with potential to increase as the clinic grows) Current format: Remote / virtual Future requirement: In-person availability once the clinic opens in June Compensation: Competitive, based on experience Required Experience & Skills Direct experience using Jane App (required) Previous experience working in a private healthcare or mental health practice (knowledge of CAP guidelines is an asset) Comfortable interacting with clients via phone, email, and online systems Strong written and verbal communication skills Highly organized with excellent follow-through Able to work independently while contributing to a team environment Confident managing tasks without micromanagement Professional, calm, and client-centred in all interactions Key Responsibilities Client booking, scheduling, and calendar management through Jane Responding to client inquiries and coordinating care logistics Assist with invoicing, billing, and payments Managing intake processes, forms, and documentation Supporting clinicians with administrative workflows Monitoring emails, messages, and task queues to ensure nothing falls through the cracks Identifying issues early and taking initiative to resolve them Supporting the transition from virtual operations to in-person clinic workflows What We''re Really Looking For A critical thinker who can problem-solve instead of escalating every issue Someone who finishes tasks and closes loops Comfortable making judgment calls within defined boundaries Able to prioritize in a fast-moving environment Understands discretion, confidentiality, and professional boundaries Reliable, accountable, and proactive Not easily overwhelmed by responsibility Experience with insurance billing, invoicing, or extended health benefits Familiarity with virtual practice operations and clinic growth phases Comfort supporting multiple clinicians with different workflows Interest in staying with a growing clinic long-term Why Work With Us Supportive, professional, and values-driven team Clear systems, expectations, and communication Opportunity to grow with an expanding practice Meaningful work supporting mental health care in the community How to Apply Please note that applications submitted through this platform will not be reviewed.
