Our Executive Leadership Team is currently seeking an experienced Executive Assistant , based in our Edmonton, AB head office. Reporting directly to the President, this position provides high-level administrative support, operational coordination, and executive support to the President and Executive Leadership Team, managing complex calendars, travel, and communications. They will act as a key gatekeeper and liaison between the president and internal / external stakeholders, handling sensitive information and prioritizing urgent matters. The scope and priorities of this role will evolve regularly to ensure our leaders and teams are fully supported. Please note: Due to the nature of this role, after-hours, weekend, and holiday support may be required. Travel of up to 20% is also expected. Duties and Responsibilities Serve as the key liaison between the president, executives, and internal departments, supporting decision-making and ensuring clear communication while maintaining credibility, trust, and confidentiality Act as a central point of coordination between the President, Executive Leadership Team, and internal departments to ensure alignment and follow-through Manage and optimize executive calendars, proactively prioritizing meetings and resolving scheduling conflicts Coordinate internal and external meetings, including room bookings, virtual conferencing, catering, and preparation of meeting materials; attend meetings and record minutes as required Arrange complex travel logistics, including flights, accommodations, ground transportation, and meeting spaces Submit company credit card reconciliations, expense claims, and health claims for executives and obtain approvals for their direct reports Create, maintain, and organize records including client information, industry contacts, and travel documentation Accompany the President on out-of-town and out-of-province meetings Provide after-hours support during executive travel, including managing last-minute itinerary changes and urgent requests Qualifications Post-Secondary education in a related field 10 years experience in a Senior Administrative or executive support role Demonstrated experience supporting executive-level leaders Advanced computer skills in Microsoft Office products and Adobe Acrobat Experienced with booking tools such as Concur and/or Etta Preferred Skills / Qualifications Experience supporting Construction industry executives Knowledge of Project Management / Project Lifecycles Experience using JD Edwards Experience with document control We offer a comprehensive and competitive total rewards package that incorporates a complete range of employee benefits, including an RRSP matching program, to ensure you have the tools necessary to manage, maintain, and improve your health and wellbeing.
