Position Overview As the senior administrative employee within the portfolio, you will provide administrative support to the Chief Operating Officer. You will organize and prioritize independently the secretarial and administrative activities for the COO and ensure all work is completed within established timeframes. Your tasks will include typing, formatting, and proofreading various types of material including correspondence, minutes, agendas, and manuscripts. You will also develop, maintain, and update databases, create spreadsheets, perform data collection and entry, support analysis, and assist with preparing reports. You will review, evaluate, and recommend new office and administrative procedures to improve efficiency and quality of service, and prepare and maintain policies and procedures for the portfolios administrative activities. Experience Five years experience in a senior administrative position. Education (Degree/Diploma/Certificate) Completion of a high school or equivalent program of studies; formal training in applied office skills is required. Certification/Licensure/Registration Not Applicable Qualifications and Skills Proficiency with computerized systems (Microsoft Word, Access, PowerPoint, and Excel) is essential. Experience with e-mail and computerized calendars. Typing speed 60 wpm. Demonstrated ability to organize, assign, and supervise the work of junior employees. Experience in scheduling and coordinating meetings. Ability to compose correspondence on behalf of senior managers. Experience recording and preparing minutes and agendas. Excellent communication skills, verbally and in writing. Ability to prioritize a large workload and independently complete a variety of administrative duties. Ability to work in a fastpaced corporate environment and work effectively under pressure to meet deadlines. Demonstrated problemsolving skills. Demonstrated ability to effectively contribute to a team environment. The ability to work independently and to establish and maintain good working relationships with administrative staff, healthcare agencies, and all levels of management. Ability to maintain a high level of confidentiality. Previous health care experience would be an asset. Physical Requirements Required to work for long periods of time at a computer.
