Overview We are seeking an experienced, dedicated and organized Medical Office Assistant to join our healthcare team. This will be to cover maternity leave for 18 months starting May/June 2026 until January 2028. The ideal candidate will have experience working in a surgical office, possess strong administrative skills, and be proficient with electronic medical records systems (we use Plexia). This role involves providing exceptional front desk support, managing patient interactions, and ensuring smooth daily operations within the surgical practice. Candidates with experience in Plexia, or similar electronic health record platforms will be highly valued. The position offers an opportunity to contribute to patient care in a fast-paced environment while developing professional skills in healthcare administration. Preferred candidate will have experience booking surgeries. Responsibilities Greet patients and visitors professionally at the front desk, creating a welcoming environment Manage multi-line phone systems to schedule appointments, answer inquiries, and relay messages Verify patient insurance information and update electronic medical records accurately Assist with check-in and check-out procedures, including collecting co-pays and documentation Maintain organized patient files and ensure confidentiality of sensitive information Support clinical staff by preparing necessary documentation and forms for appointments Utilize electronic medical records systems for data entry and management Coordinate appointment scheduling and follow-up communications with patients Handle administrative tasks such as filing, faxing, scanning, and managing office supplies Ensure the reception area remains clean, organized, and professional at all times Booking surgeries Experience Previous experience as a Surgical Office Assistant is preferred Familiarity with electronic medical records systems is highly desirable Strong knowledge of medical terminology and healthcare documentation standards Proven office experience with proficiency in multi-line phone systems and administrative tasks Prior experience working in a surgical office environment is advantageous Excellent organizational skills with attention to detail and confidentiality requirements Ability to multitask efficiently in a fast-paced healthcare setting This position provides an excellent opportunity for individuals seeking to advance their career in healthcare administration while supporting quality patient care.
