The Role The Event Coordinator is responsible for supporting the planning, coordination, and execution of internal and external events across the organization. This includes corporate events, conferences, tradeshows, customer appreciation events, special programs, and industry engagements. The role ensures all events are executed professionally, accurately, on-brand, on-budget, and aligned with MCAP''s business objectives. This position works collaboratively with cross functional teams, external vendors, and internal stakeholders to deliver seamless event logistics, high quality attendee experiences, and strong operational support. Event Planning & Coordination Coordinate the planning and logistics of corporate, internal, and external events including conferences, trade shows, speaking engagements, Town Halls, appreciation events, golf tournaments, and professional association events. Support pre-event planning activities including project plans, venue research and selection, contract coordination, budget input, event timelines, runofshow documents, and internal communications. Prepare and manage event guest lists, registration needs, RSVP tracking, and attendee communications. Ensure all event concepts, materials, and deliverables align with brand standards and event objectives. Event Execution Provide onsite event support including setup, registration, name badge management, swag/gift bag preparation, and attendee assistance. Coordinate with venue staff, AV teams, speakers, and partners to ensure seamless event delivery and timing. Support day of-event logistics, troubleshooting issues and responding to real time needs. Vendor & Stakeholder Management Support and manage external vendors as required to execute events and programs within scope and consistency. Work with line of business to gather measurable feedback and input on event experiences Support the creation of print and digital marketing materials from planning to completion. Includes organizing and collecting information from stakeholders daily monitoring and tracking the status of complex projects, utilizing Planner, the management tool. Secure quotes, manage orders, monitor service agreements, and ensure deliverables meet expectations. Swag, Gifting & Materials Coordination Sourcing, ordering, and distribution of event swag and corporate gifting items. Assist with inventory of promotional items, ensuring appropriate quantities, brand compliance, and timely restocking. Coordinate printing of event materials including agendas, signage, presentations, badges, and collateral. Event Budgeting & Reporting Assist with the event budgeting process including cost estimates, invoice processing, credit card reconciliation, and expense tracking. Support year over year event budget planning by maintaining awareness of event related costs and vendor pricing. Provide post event reporting including attendee analytics, feedback summaries, budget reconciliation, and performance insights. Internal Event Communications Draft or coordinate event related communications to internal audiences including invitations, reminders, updates, and post event thankyou messages. Ensure all communications are clear, consistent, and reflective of established brand and formatting standards. Inventory & General Operational Support Maintain event related inventory, including supplies, display materials, signage, printing stock, kit components, distribution items, and packaging materials. Oversee restocking, billing reconciliation, and reporting for inventory and the online store (if applicable). Support administrative needs associated with events including purchase requests, processing invoices, and updating event files and archives.
