Position Information Position Title Administrative Officer - Residence Position Summary This position is responsible for the administration of Residence units for student accommodations throughout the year. The incumbent is responsible for the financial accounts, room assignments, applications and files for Residence students. This position works closely with the Administrative Officer Accommodation Services to help maximize occupancy in Residence between Short Term Stay and Long Term Student Stays. The incumbent is required to act in the capacity of Residence Operations Coordinator in their absence in matters related to the administration of the Residences Position Responsibilities Residence Student Acceptance Processes Acknowledges, reviews, and ranks application forms in accordance with Residence policy. Maintains and updates a list of banned students from Residence. Responsible for overseeing the preparation and distribution of Residence information packages. Responsible for prompt and accurate information requests. Respond to inquiries made in-person, by phone or by mail and make appropriate referrals both within and outside of the department. Accepts fulltime tenants, apprentice tenants, and family tenants in coordination with Residence Operations Coordinator. Update residence applications ensuring they are ready for each application opening date. Administrative & Residence Operations Support Residence Operation tasks by processing rent payments, receiving security deposits. Provide prospective tenants and parents with information about Residence. Provides administrative support for Residence Move-In, Move-Out, house checks, Maintenance Requests, Emergency evacuations, Daily Residence Operations. Provides administrative support for Guest Accommodations Move-In, Move-Out, house checks, Maintenance Requests, Emergency evacuations, Daily Guest Accommodation operations as needed. Completes and reviews rental agreements. Responsible for maintaining Student Files. Responsible for records management (archiving) in Residence. Develop and maintain forms for use in the office and to communicate with other departments. Maintain Inventory for Residences concerning maintenance, painting, flooring, furniture and appliances. Has full authority to resolve tenant complaints or concerns, acting in accordance with Residence policy. Has full authority to issue violation tickets to residents in accordance with Residence Policy. Accounting & Financial Duties Responsible for the timely management of all cash flow. Process Student payments as required. Maintain a detailed database of all Resident''s methods of payment. Responsible for analyzing Student Accounts for Residence payments monthly. Provides follow up correspondence to communicate with students for all outstanding Residence charges. Send eviction letters, signed by Operations Coordinator, for outstanding rent. Process all Residence charges and fees to Student Accounts. Authorizes deductions from tenant security deposit or charges, if necessary. Process accounts after students move out Room Assignment Responsibilities Responsible for assigning all tenants to rooms by evaluating the interests and expectations as outlined on the Residence Application Form. Ensure StarRez database of tenants is up to date and accurate. Track family tenants to ensure their leases and rent charges are up to date. Create and track waitlists, offering rooms off waitlist as they become available. Track requests to change rooms and notice to vacates. Other Duties as Required Request housekeeping after house checks. Update StarRez processes as needed. Additional administrative duties as requested by Operations Coordinator Required Qualifications Two (2) years of post-secondary training, completion of a community college certificate including trades apprenticeships or equivalent. Preferred Qualifications Accounting knowledge Excellent communication skills both oral and written Good Analytical Skills Problem Solving/Decision Making Excellent Organization & Planning Skills Initiative/Self Starting Excellent Customer Service Skills Good Listening Skills Excellent Computer Skills specifically with Microsoft Office programs Ability to work independently as well as within a team context Dependability, reliability, punctuality and confidentiality are essential Ability to multi-task in a busy office environment Salary or Hourly?
