Position Summary We are seeking a highly organized and personable Client Experience & Scheduling Coordinator to lead the front desk operations and manage appointment flow. This role is pivotal in converting leads into bookings, maintaining an optimized service schedule, and delivering a consistently elevated client experience. Key Responsibilities Lead Engagement & Appointment Booking Proactively contact new leads and inquiries to convert them into scheduled services Follow up with prospective clients via phone, text, and email with a consultative, professional approach Schedule Management & Optimization Coordinate appointments with a focus on provider efficiency and ideal time slot utilization Anticipate and resolve scheduling gaps, cancellations, and overbookings in real-time Client Experience & Front Desk Operations Welcome clients warmly, manage check-in and check-out procedures, and ensure a smooth front desk flow Answer phone calls and emails promptly, offering accurate information on spa services and policies Handle payments, gift cards, membership inquiries, and rescheduling Reporting & Administration Track lead conversion metrics and appointment volume Maintain accurate client records and service histories within our scheduling system (e.g., Vagaro) Support the spa manager with daily operations and team communication * Qualifications 2+ years of experience in a customer service, reception, or sales support role (spa, clinic, or hospitality preferred) Strong communication and interpersonal skills with a sales-oriented mindset Highly organized, detail-oriented, and able to multi-task under pressure Proficiency with appointment scheduling software (Vagaro, Acuity, Mindbody, or similar) Confident phone presence and professional written communication What We Offer Competitive hourly compensation + performance-based bonuses Staff discounts on treatments and retail products Growth opportunities into supervisory or management roles Supportive team environment with ongoing training and wellness culture Job Type: Full-time Pay: $23.00 per hour Expected hours: 30 40 per week Benefits: Extended health care On-site parking Store discount Ability to commute/relocate: Newmarket, ON L3Y 9A4: reliably commute or plan to relocate before starting work (required) Experience: Aesthetic treatments: 2 years (required) Front desk: 2 years (required) Work Location: In person
