About the Role Reporting to the CEO, the Office Manager is the steady hand that keeps Tourism Kamloops running smoothly. Youll sit at the heart of our day-to-day operationsoverseeing office systems, supporting our team, coordinating with partners and suppliers, and making sure the details are handled so big ideas can come to life. What Youll Get Up To Keep the office humming by managing inventory, filing systems, storage, and general office organization. Maintain detailed records of technology, promotional items, and office suppliesand coordinate orders when stock runs low. Oversee the use of company assets (like tents, banners, and other equipment) by internal teams and third parties. Manage operational and facility agreements, liaise with the landlord, and coordinate building or grounds maintenance and repairs as needed. Monitor and facilitate corporate insurance, licensing, and vehicle/trailer requirements. Support the development and upkeep of organizational policies, manuals, and contracts, always looking for opportunities to improve efficiency. Accounting & Administrative Support Act as the on-site liaison for our offsite Bookkeepersupporting deposits, credit card reconciliations, accounts receivable/payable, and petty cash management. Assist with interim and year-end audits. Maintain organized files and databases using tools like Dext, SharePoint, and Simpleview CRM. CEO & Board Support Provide proactive administrative support to the CEO, including booking meetings, filing reports, and managing external communications. Support the Board of Directors by preparing reports, meeting minutes, and documents; updating Board manuals and bylaws; managing correspondence; and coordinating meetings. Participate in budget creation and oversight, facility operations, and organizational planningalways maintaining strict confidentiality. Industry & Partner Relations Maintain our Industry Partner CRM with accurate, up-to-date information. Support partner programs by updating forms, helping partners submit applications, and preparing post-project reports. Assist with travel deals programs, including partner outreach and inventory control. Support our merch and Shopify sales program. Contribute to grant writing as requested. Support organizational stewardship programs, including Biosphere initiatives. Assist in managing student scholar and resident programs (e.g., Riipen Level Up). Help with research projects and data analysis. Jump in on other tasks as needed to support the team and organization. What You Bring Minimum 5 years of administrative experience. A self-directed work styleyoure comfortable taking initiative and working independently. Strong ability to multi-task, meet deadlines, and see projects through with limited supervision. Proficiency with the Office 365 suite. A strong comfort level with technology systems, including Microsoft, SharePoint, Adobe, Simpleview, and similar tools. Class 5 drivers license and access to a vehicle. You live in Kamloops and are able to work in-office Monday to Friday, 8:30 a.m.4:30 p.m. Youre organized, solutions-focused, and enjoy supporting others so they can do their best work.
